We are seeking an enthusiastic, motivated, and highly organized Patient Experience Coordinator to anchor our front-desk operations, champion our patient-centric culture, and drive day-to-day business processes. Key Responsibilities1. Front Desk & Patient Experience Excellence
- First Impressions: Warmly greet and direct patients upon arrival, ensuring a premium five-star experience.
- Communication Flow: Answer, screen, and forward inbound calls while providing accurate clinic information; diligently manage the reception voicemail and digital inquiries to ensure rapid response times.
- Schedule Optimization: Master the scheduling workflow, comfortably handling a high volume of daily bookings while proactively executing appointment confirmations, tracking metrics, and running "winback" protocols for unbooked patients.
2. Financial & Insurance Administration
- Billing & POS: Confidently produce invoices and receipts, handle patient payments, process POS transactions, and balance daily financials.
- Insurance Coordination: Research and verify extended health benefits coverage, communicating details transparently to patients.
- Specialized Claims: Manage and streamline paperwork for Motor Vehicle Accidents (MVA) and WSIB cases.
3. Clinic Operations & Growth
- Facility Management: Oversee day-to-day physical operations (including opening and closing protocols), ensuring the front desk, waiting area, and clinic space remain impeccably clean and organized.
- Data & Metrics: Compile weekly and monthly operational statistics to input into our management tracking systems.
- Process Innovation: Actively identify bottlenecks and make suggestions to optimize clinic procedures, workflows, and systems.
- Clerical Support: Handle general administrative tasks including filing, photocopying, faxing, and tracking daily financial receipts.
Skills & Qualifications
- Multitasking Master: Essential ability to prioritize heavy workloads and navigate a fast-paced environment smoothly.
- Exceptional Communication: Top-tier verbal and written skills with a professional, customer-first mindset.
- Interpersonal & Problem-Solving Agility: Excellent people skills to navigate patient scheduling, insurance inquiries, and coordination with external third parties (law firms, insurance companies).
- Tech Savvy: Proficient with Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and comfortable adapting to cloud-based clinic management software.
- Professionalism: High level of integrity, punctuality, and discretion regarding patient privacy.
Job RequirementsPreferred Education & Experience:
- Bachelor’s degree or College diploma in Healthcare Administration, Business Management, Kinesiology, or a related field.
- Proven experience in clinic administration, medical office support, or a high-end hospitality setting.
- Familiarity with medical billing, extended health insurance platforms, and industry compliance.
- Inherent leadership qualities with an interest in team motivation and supervisory growth.
