Role Description
We are hiring an Office Administrator to be the operational heartbeat of our Brampton head office. From the front desk, you will manage the flow of driver trip data, driver paperwork, and driver pay for a 500-piece cross-border fleet — while also serving as the first point of contact for incoming calls and visitors.
This is not a "sit and answer phones" role. You will be entering trip after trip into TransPlus and our custom-built in-house operations platform — software we developed specifically for Alpha Trans's operations — pulling documents from Samsara, chasing driver paperwork, generating driver pay, and keeping the back-office pipeline current. All while professionally directing calls and greeting the people who walk through our door. It is a role for someone who thrives on volume, precision, and being at the center of the action.
What You Will Own
- Trip entry and management — logging driver trip details into TransPlus and Alpha Trans's custom-built operations platform, keeping records accurate and up to date for a fleet that runs cross-border every day
- Driver paperwork management — collecting, organizing, and filing trip-related documents (trip sheets, fuel receipts, scale tickets, BOLs, PODs) via Outlook and Samsara
- Driver pay creation — generating driver settlements based on completed trips, ensuring accuracy on rates, miles, and accessorials
- Front desk operations — managing inbound and outbound calls, screening and routing calls to the right person, greeting drivers, vendors, brokers, and walk-in visitors
- Coordinating between drivers, dispatch, accounts, and safety to keep the paperwork pipeline clean
- Mail, courier sign-offs, office supplies, and general front-desk admin
What We Need From You
- 1+ year of admin, data entry, bookkeeping, or back-office experience. Trucking, logistics, or freight experience is a strong advantage.
- Working understanding of TransPlus (or a comparable TMS such as TruckMate, AS400, or similar) — TransPlus is our primary trip and billing platform. If you have not used TransPlus specifically, we will train you.
- Working understanding of Samsara — most driver-submitted documents (BOLs, PODs, scale tickets, fuel receipts) flow to us through the Samsara platform. Comfort navigating the Samsara dashboard is essential.
- Solid Microsoft Excel — sorting, filtering, basic formulas, cell formatting. You will use Excel daily for reconciliations, driver pay checks, and reporting.
- Strong Microsoft Outlook skills — much of our document flow runs through email. Comfort with attachments, email threading, folder organization, and digital filing is essential.
- Fast, accurate data entry — you will enter dozens of trips per day. Speed matters. Accuracy matters more.
- Strong phone presence — clear, warm, professional. You are the first voice callers hear.
- Genuine multitasking ability — you will handle trip entry, a ringing phone, a walk-in driver, and a paperwork question in the same 10-minute window. This is normal, not exceptional.
- Strong organizational instincts — driver paperwork can pile up fast. The person in this seat keeps it from ever becoming a backlog.
- Legal authorization to work in Canada (citizen, PR, or valid work permit).
Strong Assets
- Direct TransPlus experience — you will get up to speed in days instead of weeks
- Direct Samsara experience — you already know how to pull documents, check driver status, and navigate the dashboard
- Trucking, logistics, or freight back-office experience — familiarity with trip sheets, BOLs, PODs, fuel receipts, driver settlements
- Bilingual English + Punjabi or Hindi — most of our driver community communicates in Punjabi or Hindi, and being able to switch comfortably is a real advantage
- Prior experience in a high-volume front-desk role (dispatch office, freight broker, service department)
