Property Manager – Residential Rental Complex

Shelter Canadian Properties Limited is a privately owned Canadian corporation established in 1990. The company is the successor to several Canadian real estate organizations that have been operating since 1947. Shelter's Corporate Head Office is located in Winnipeg, Manitoba.
We are seeking an energetic, detail-oriented, and motivated Residential Property Manager to oversee a multi-unit apartment building and townhome community in Thunder Bay, Ontario. This is a hands-on leadership role where you will serve as the primary point of contact for residents, staff, contractors, and company management.
Reporting directly to the Senior Regional Manager, the Property Manager is responsible for the day-to-day operations, maintenance, administration, leasing, and overall performance of the residential complex. The successful candidate will ensure that Shelter Canadian's professional property management standards are consistently achieved while delivering exceptional service to residents.
Key ResponsibilitiesOperations
- Ensure all common areas are clean, safe, and maintained in excellent condition.
- Coordinate and oversee maintenance, repairs, and cleaning throughout the property.
- Supervise suite turnover, ensuring vacant units are prepared for new residents.
- Obtain quotations and coordinate major maintenance and capital improvement projects.
- Oversee grounds maintenance to ensure the property remains attractive and well maintained.
- Purchase goods and services in accordance with the company's purchasing procedures.
- Recruit, train, supervise, and support on-site operational and administrative staff as required.
- Monitor contractor performance to ensure quality work and timely completion.
Tenant Relations & Administration
- Build and maintain positive relationships with residents through professional, responsive customer service.
- Address tenant inquiries, concerns, and complaints promptly and effectively.
- Conduct apartment showings for prospective residents.
- Manage leasing activities, including processing rental applications, preparing tenancy agreements, and completing move-in documentation.
- Collect, record, and deposit rental payments accurately and on time.
- Maintain complete and accurate tenant files and property records.
- Prepare and submit reports in a timely and accurate manner.
- Serve legal notices and documentation when required.
- Enforce tenancy agreements and property rules consistently and professionally.
- Ensure staff reporting to you meet established performance expectations.
Safety & Compliance
- Promote a safe and secure environment for residents, visitors, and staff.
- Respond professionally and effectively to emergencies.
- Maintain fire safety documentation, winter maintenance logs, and other required compliance records.
- Ensure the property complies with applicable health, safety, and regulatory requirements.
Marketing & Leasing
- Ensure the property's appearance supports strong occupancy and resident satisfaction.
- Maintain attractive and visible marketing signage.
- Monitor local rental market conditions and competitor activity.
- Oversee leasing efforts to maximize occupancy.
- Review and approve rental applications and execute tenancy agreements.
QualificationsRequired
- Minimum three (3) years of residential property management experience.
- Valid Ontario Driver's Licence.
- Reliable personal vehicle.
- Strong organizational and administrative skills.
- Excellent communication and interpersonal abilities.
- Ability to prioritize multiple responsibilities in a fast-paced environment.
- Strong problem-solving and decision-making skills.
