About the Role
We are seeking a Scheduler & Administrative Assistant to join our growing team. This role requires strong organizational and time management skills, the ability to think on your feet, and excellent communication abilities. The ideal candidate will have a flexible mindset, enjoy problem-solving, managing caregiver schedules, and ensuring that both clients and caregivers receive the support they need. We are looking for candidates who are eager to acquire new skills and knowledge to meet the demands of various roles. They exhibit a proactive approach, anticipating needs and filling gaps without being asked. Their strong communication skills allow them to collaborate effectively with different teams, ensuring a smooth transition between responsibilities.
Key Responsibilities
- Coordinate caregiver schedules, ensuring clients receive reliable and compassionate care.
- Handle scheduling adjustments and problem-solve to accommodate last-minute changes.
- Manage caregiver availability and assist in the hiring process by advising when additional staff may be needed.
- Answer phone inquiries and direct calls professionally and efficiently.
- Respond to emails and website inquiries in a timely and professional manner.
- Assist with other administrative duties as needed to support the team.
- Desire to support client care and meet with clients if needed
Qualifications & Skills
- Previous scheduling experience preferred.
- 1+ years of office experience (home care or healthcare experience is an asset).
- Medical Office Assistant (MOA) certification an asset
- Strong computer proficiency with Google systems (G-Suite), and ability to quickly learn new systems.
- Excellent problem-solving skills and ability to work under pressure.
- Strong written and verbal communication skills.
- Own transportation is required.
- Willingness to handle after-hours on-call shifts on a rotating basis.
- Strong time-management skills and ability to switch between and prioritize tasks
- Ability to take on additional responsibilities as needed
- Experience as a caregiver (health care aide, personal support worker, community support worker) is an asset
