ERP Operations Support Coordinator – Six-Month Contract
Position Summary
Our client is a manufacturer and dealer of heavy equipment and material-handling machinery and they are seeking a hands-on ERP Operations Support Coordinator for a six-month fixed-term contract to support the continued implementation and adoption of a new ERP system.
This is an exciting opportunity working directly with employees across rental operations, service, manufacturing, to reinforce proper procedures, identify errors, and ensure information is entered accurately and on time.
This is an operational, detail-oriented role requiring someone who is comfortable working with multiple departments, learning business processes and entering necessary data, and helping employees transition from existing practices to the new ERP system. A key goal of this role is to build department self-sufficiency, so that ERP responsibilities can be transferred back to each team by the end of the contract.

Key Responsibilities
Rental Operations Support
- Enter and maintain transactional rental process data in the ERP system. (From Quoting, Contract, Dispatch to Returns/Off-Rent)
- This involves confirming rental dates, times, rates, quantities, and charges agree with the applicable shipping memo and supporting documents.
- Investigate and resolve discrepancies with the rental team before transactions are finalized.
- Ensure rental activity is entered accurately and promptly.
- Assist employees with following the required ERP procedures for each stage of the rental cycle.
Service and Repair Work Orders
- Create work orders for repairs and maintenance on customer-owned equipment and our own fleet, as work progresses and supporting information becomes available.
- Enter relevant equipment, customer, job, labour, parts, and service information from submitted work-order documents.
- Review open work orders for missing or incomplete information.
- Work with mechanics, service personnel, and management to correct transaction or documentation issues.
Manufacturing Work Orders
- Ensure the correct build, customer, equipment, and supporting information is assigned.
- Update manufacturing work orders as materials, labour, and production activity are recorded.
- Follow up with employees regarding missing or incomplete ERP entries.
- Help ensure manufacturing activity is properly captured for costing and operational reporting.
ERP Adoption and Process Support
- Work directly with employees to guide them through ERP transactions.
- Reinforce standardized procedures and consistent use of the system.
- Identify recurring user errors, missing information, and process bottlenecks.
- Provide practical one-on-one support and refresher training.
- Document questions, system issues, and recommended process improvements.
- Escalate system configuration issues to management or the software provider.
- Monitor outstanding transactions and follow up with the appropriate employees.
- Support the gradual transfer of ERP responsibilities back to the applicable departments.
Qualifications
- Two or more years of experience in operations administration, rental coordination, service administration, inventory, manufacturing, or a related position.
- Previous experience working with an ERP, rental-management, work-order, inventory, or service-management system.
- Strong computer skills, including Microsoft Excel, Outlook, and data-entry systems.
- Ability to learn new software and business processes quickly.
- Experience in equipment rental, industrial equipment, material handling, manufacturing, construction equipment, or repair services is strongly preferred.
- Experience reviewing contracts, shipping documents, purchase orders, receiving documents, and work orders.
- Strong attention to detail and ability to identify inconsistencies.
- Comfortable working directly with employees who have different levels of computer experience.
- Able to explain processes patiently and clearly while holding users accountable for completing their work.
- Strong organizational, communication, and follow-up skills.
- Able to manage multiple transactions and competing priorities in a fast-moving environment.
- Basic understanding of inventory, job costing, equipment rentals, and service operations is an asset.
