Nutemp Mechanical Systems Ltd. is a leading multi-trade mechanical contractor specializing in Industrial, Commercial, and Institutional (ICI) construction projects across the Greater Toronto Area. Our expertise spans HVAC, plumbing, sheet metal, and controls systems, delivering high-quality mechanical solutions for both public and private sector clients.
We are currently seeking a Pre Construction Marketing & Bid Coordinator to join our growing team and support the continued expansion of our pre construction and estimating operations.
Position Summary
The Pre Construction Marketing & Bid Coordinator is responsible for managing the front end of the bidding and pre construction process for ICI mechanical projects throughout the GTA.
This role supports both Bid Spec and Design Build pursuits by coordinating bid opportunities, managing pre qualification submissions, preparing proposal documentation, and supporting marketing and client development initiatives.
Key Responsibilities
Bid & Tender Coordination
- Monitor and manage bid opportunities through platforms such as MERX, BuildingConnected, Biddingo, SmartBid, and GC invitations
- Review tender documents, project scope, bid requirements, bonding, and compliance details
- Prepare and distribute bid packages including drawings, specifications, addenda, and bid forms
- Coordinate complete and timely bid submissions, including bonding, insurance, and tender documentation
- Track and distribute addenda and maintain accurate bid logs, pipeline activity, and submission records
Design Build & Proposal Support
- Assist with Design Build and budget pricing proposals
- Prepare proposal packages, scope narratives, clarifications, and company/project information
- Support collaboration between estimating, operations, project management, consultants, and clients
- Contribute to value engineering and alternative system proposal development
Pre Qualifications & Vendor Management
- Complete and maintain contractor and client pre qualification submissions
- Manage records related to WSIB, COR, EMR, bonding, insurance, licenses, and certifications
- Maintain online vendor and qualification platforms, renewals, and approval tracking
Marketing & Business Development Support
- Maintain company resumes, project sheets, and experience databases
- Support client presentations, capability statements, proposal branding, and award submissions
- Assist with relationship development across GCs, consultants, and clients within the GTA market
Post Bid Tracking & Reporting
- Track bid results, win/loss data, budget comparisons, and market intelligence
- Support post bid clarifications, scope reviews, and project handovers to operations teams

- Professional, consistent proposal documentation
- High pre qualification approval rates
- Effective coordination with internal teams and external stakeholders
Qualifications
- Postsecondary education in Construction Management, Engineering, Business, Marketing, or a related field is preferred
- 3+years of experience in mechanical contracting, construction estimating support, bid coordination, or a related field
- Strong understanding of ICI construction tendering processes, including Bid Spec and Design Build delivery models
- Experience within HVAC, plumbing, sheet metal, or controls contracting is considered an asset
- Proficiency with bid management platforms such as BuildingConnected, SmartBid, MERX, and Biddingo
- Knowledge of bonding, insurance, and pre qualification processes
- Exposure to ICI projects ranging from $50K to $6M+
- Proficient in Microsoft Office Suite (Excel, Word, Outlook)
- Excellent organizational, communication, and time management skills
- Ability to manage multiple deadlines in a fast-paced environment

Pay: $65,000.00-$75,000.00 per year
