Position Overview
We are seeking a detail-oriented and organized Project Coordinator to support the successful planning, execution, and completion of mechanical construction projects. This role is ideal for a candidate with experience in the mechanical, HVAC, or construction industry who can coordinate multiple project activities while working closely with project managers, field teams, contractors, suppliers, and clients.
The successful candidate will assist with project planning, scheduling, cost tracking, documentation, and field coordination to ensure projects are delivered safely, on time, and within scope. Regular travel to project sites will be required.
Key Responsibilities
- Support Project Managers and the Field Services Manager by providing project data, analysis, and administrative support.
- Assist with planning, scheduling, coordinating, and monitoring multiple construction projects.
- Track project scope, schedules, budgets, and costs while identifying and communicating project changes.
- Perform quantity take-offs from construction drawings and project documentation.
- Review and interpret blueprints, schematics, specifications, and technical drawings to support project execution.
- Visit project sites to inspect existing conditions, monitor progress, and provide project updates.
- Coordinate communication between project managers, field personnel, contractors, suppliers, engineers, and clients.
- Prepare and maintain project documentation, including contracts, RFIs, submittals, change orders, meeting minutes, and project records.
- Assist with construction estimating, cost analysis, budgeting, and project reporting.
- Monitor project progress and proactively identify potential delays or issues.
- Schedule project meetings and support project planning activities.
- Ensure company procedures, quality standards, and health and safety requirements are followed throughout project execution.
- Coordinate project resources and activities to support timely project completion.
- Maintain accurate project files and provide regular progress updates to management.
Qualifications
- Diploma or Degree in Mechanical Engineering Technology, Mechanical Engineering, Construction Management, or a related discipline.
- Minimum 3 years of experience in a Project Coordinator or similar role within the construction industry.
- Mechanical industry experience is required, with HVAC experience and trade knowledge considered a strong asset.
- Strong understanding of construction processes and project coordination principles.
- Ability to read and interpret construction drawings, blueprints, schematics, and technical documents.
- Experience performing quantity take-offs and supporting construction estimating activities.
- Knowledge of construction documentation, including RFIs, change orders, contracts, and submittals.
- Proficiency with Microsoft Office Suite, including Excel, Word, and MS Project (or equivalent project management software).
- Experience with AutoCAD is considered an asset.
- Excellent organizational, communication, and time management skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Adaptable to flexible work schedules when required to meet project deadlines.
- Valid driver's license with the ability to travel to project sites as required.
