As our operations continue to expand, we're seeking a motivated and detail‑oriented Contracts & Tender Coordinator to support our commercial bid submissions, contract renewals, and administrative processes.
This role is ideal for someone with strong organizational or administrative experience who can manage tenders, RFPs, and contract documentation. The position also includes light accounting support as required.

Key Responsibilities
Tender & Contract Coordination
- Assist in identifying and tracking tender, RFP, and contract opportunities
- Prepare and organize submission documents, forms, and compliance materials
- Learn procurement portals and upload required documentation
- Maintain accurate bid calendars, deadlines, and contract files
- Support annual contract renewal processes
- Maintain organized templates, proposal content, and compliance records
Internal Coordination
- Work with operations teams to gather site information for tenders
- Assist with pricing packages and document preparation
- Ensure submissions reflect accurate service information
- Maintain organized databases, templates, and administrative systems
Administrative & Accounting Support
- Support accounting tasks such as reconciliations, document preparation, and reporting
- Maintain organized financial and administrative records
- Support payroll documentation and compliance as needed
- Coordinate daily office operations and communication
- Liaise with vendors, clients, and internal teams regarding administrative matters
Qualifications
Required
- Experience in office administration, bookkeeping, coordination, or similar role
- Strong proficiency with Microsoft Excel and Microsoft Office
- High attention to detail and strong organizational skills
- Excellent written communication skills
- Ability to manage multiple deadlines
- Willingness to learn tender management and procurement processes
Preferred
- Experience with QuickBooks
- Experience with Corrigo, IFM, or other maintenance management software
- Exposure to construction, landscaping, facilities maintenance, or property services (asset but not required)
