We are seeking an experienced, organized, and proactive Office Manager / Human Resources Specialist to oversee the firm's daily operations, coordinate HR functions, and ensure the office runs efficiently while maintaining the highest standards of professionalism, confidentiality, and regulatory compliance.
The Office Manager will oversee the firm's administrative operations, human resources, office policies, onboarding, and regulatory compliance. The role also includes the initial administrative setup of new client files in our case management system, Filevine and ensuring accurate file organization.
The ideal candidate should be highly organized, able to work independently, exercises sound judgment, and understands the importance of confidentiality within a legal environment.
Duties
- Oversee the day-to-day operations of the law firm to ensure an efficient and professional office environment.
- Manage office administration, policies, procedures, supplies, and facility operations.
- Coordinate recruitment, onboarding, employee relations, performance management, and HR administration.
- Maintain confidential employee records and support compliance with Ontario employment standards and workplace policies.
- Assist with the initial administrative setup of new client files in Filevine and maintain organized file management systems.
- Liaise with the Law Society of Ontario (LSO) and LawPRO regarding licensing, regulatory, and administrative matters.
- Ensure compliance with firm policies, legal obligations, privacy requirements, and confidentiality standards.
- Coordinate internal communications, meetings, and administrative support for lawyers and staff.
- Identify and implement improvements to office processes, workflows, and operational efficiencies.
- Work independently, exercise sound judgment, and maintain the highest level of professionalism and discretion.
- Perform other office management and administrative duties as assigned.
Requirements
- Post-secondary diploma or degree in Business Administration, Human Resources, Office Administration, Legal Administration, or a related field, or an equivalent combination of education and experience.
- Minimum 3–5 years' experience in office management, preferably within a law firm or professional services environment.
- Human Resources education, certification, or equivalent experience is considered an asset.
- Experience with Filevine or other legal case management software is an asset.
- Familiarity with Law Society of Ontario (LSO) and LawPRO requirements is an asset.
- Proficiency in Microsoft Office (Outlook, Word, Excel, and Teams).
- Excellent organizational, communication, leadership, and problem-solving skills with strong attention to detail.
- Ability to work independently, manage competing priorities, and exercise sound judgment in a fast-paced environment.
- Professional, proactive, and client-focused with a high degree of integrity, discretion, and commitment to maintaining strict confidentiality.

Pay: $50,000.00-$77,000.00 per year
