FMF Glass Hardware is one of Canada's leading suppliers of architectural glass hardware, serving customers across North America. With three locations across the Greater Toronto Area, we supply hardware solutions for shower enclosures, glass railings, office partitions, and commercial glazing systems.
We are currently seeking an organized and detail-oriented Office Administrator & Accounts Coordinator to join our Mississauga office.
This position combines administrative support, accounts receivable, bookkeeping assistance, and logistics coordination. The successful candidate will play an important role in supporting management while helping ensure the smooth day-to-day operation of the business.
Key Responsibilities
Accounts Receivable (35%)
- Monitor and track customer account balances across multiple company locations
- Follow up on overdue invoices by email and telephone
- Send account statements and payment reminders
- Maintain records of customer payment arrangements
- Communicate with customers regarding account inquiries and credit memos
- Work closely with management to monitor outstanding receivables
Administrative Support (25%)
- Provide administrative support to management
- Prepare and organize company documentation
- Maintain electronic and physical filing systems
- Assist with various office projects and administrative tasks
- Coordinate internal communications when required
- Maintain accurate records and databases
Logistics & Shipping Coordination (25%)
- Track incoming shipments and purchase orders
- Follow up with suppliers regarding production and shipment status
- Communicate with freight forwarders, customs brokers, and shipping companies
- Maintain shipment schedules and update management on incoming inventory
- Coordinate customs and import documentation
- Assist with shipment tracking and logistics administration
Bookkeeping & Accounting Support (15%)
- Enter bills and expenses into QuickBooks Online
- Assist with bank and credit card reconciliations
- Maintain organized accounting records
- Verify supplier invoices and supporting documentation
- Support month-end accounting processes
- Assist management and external accountants with accounting-related tasks
Qualifications
Required
- Minimum 2 years of office administration experience
- Strong organizational and time management skills
- High attention to detail
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office (Excel, Outlook, Word)
- Ability to work independently and manage multiple priorities
Preferred
- Experience using QuickBooks Online
- Experience with Accounts Receivable and collections follow-up
- Experience with bookkeeping or accounting support
- Experience in logistics, shipping, freight forwarding, or importing
- Experience using CRM systems such as HubSpot
