Job Summary:
The Payroll Assistant will be an integral part of the HR & payroll team, participating in all activities related to the preparation and settlement of the company’s payrolls for multiple entities across several countries. They will ensure accurate and timely processing of payroll for all employees and contractors across 4 continents. The ideal candidate will have a strong understanding of general payroll principles, and experience with both Canadian and global payroll administration. A strong preference will be given to candidates with experience in Professional Services, Staffing, Managed Services, Consulting, or an IT Services Firm.
This position is 100% remote from anywhere in Canada, but must work Eastern Time zone hours. The Payroll Coordinator will be part of the Global HR Operations Team.
Key Responsibilities:
Payroll Administration:
- Review timesheets for hundreds of resources, follow up on submissions and approvals.
- Ensure accurate and seamless processing of payroll for all employees and contractors across multiple entities. Ensuring earnings, withholding, deductions, expense reimbursements, and all other items associated with pay are calculated accurately and implemented properly.
- Maintain and update payroll records, including timesheets, tax information, and direct deposit details.
- Address and resolve payroll discrepancies in a timely manner.
- Assist with onboarding new employees and contractors.
- Maintain and update employee records, ensuring data accuracy and confidentiality.
- Communicate with external clients as needed to answer questions about timesheets and payroll.
Employee Support:
- Serve as the point of contact for employees & contractors regarding timesheet and payroll inquiries.
- Support employees in understanding their paychecks, benefits, deductions and general company policies.
Qualifications:
- Education: Bachelor's degree in Human Resources, Business Administration, Accounting, or a related field preferred. Equivalent experience will be considered.
- Required Experience: Minimum of 2 years of experience with both Canadian and global payroll administration, including experience processing payroll for both employees and contractors.
- Skills:
- High level of proficiency with payroll software and HRIS systems.
- High level of proficiency in MS Office, particularly Excel and Word.
- Excellent organizational and multitasking abilities.
- High attention to detail and accuracy.
- Strong communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information.
- Problem-solving skills and the ability to work both independently and as part of a team.
Fluency in Spanish and/or French highly preferred.
