We are looking for a detail-oriented Human Resources (HR) Assistant to support a busy HR function within the Hi Tech Engineering sector in Vaughan, Ontario. This Long-term Contract opportunity is ideal for someone who enjoys balancing administration, employee support, onboarding coordination, and HR documentation in a fast-paced environment. The successful candidate will help keep employee records accurate, respond to routine HR inquiries, and contribute to a positive and well-organized employee experience.
Responsibilities:
- Deliver daily administrative assistance to the HR team, helping ensure smooth coordination of routine departmental activities.
- Monitor and triage incoming requests through the HR ticketing platform, directing matters to the appropriate team members and replying to general employee questions promptly.
- Maintain electronic and paper-based employee records with a high standard of accuracy, organization, and compliance.
- Update HR and business systems with employee data changes, including staffing movements, reporting structures, and expense-related information.
- Record workforce transactions such as new hires, departures, compensation updates, and leave activity within internal tracking logs.
- Support onboarding by following up on required documentation, preparing employment letters, creating employee files, and helping facilitate orientation sessions.
- Assist with HR processes related to employee relations matters, disability administration, return-to-work coordination, immigration paperwork, and exit documentation as needed.
- Provide recruitment support by posting opportunities, screening candidates, arranging interviews, and coordinating background and reference checks.
- Help prepare internal employee communications and contribute to the coordination of engagement initiatives, events, departmental mail, and office supply management.
- College diploma or university degree in Human Resources Management or a related discipline.
- 1 to 3 years of experience in an HR support, coordination, or administrative capacity.
- Working knowledge of HR systems such as ADP Workforce Now, Ceridian Dayforce, HRMS platforms, or similar tools.
- Familiarity with HR administration processes, including employee records management, onboarding, payroll coordination, and benefits support.
- Strong organizational skills with the ability to manage multiple tasks, maintain accurate documentation, and meet deadlines.
- Clear written and verbal communication skills, with the ability to provide detail-oriented support to employees and internal stakeholders.
- High level of discretion and sound judgment when handling confidential employee information.
- Self-directed approach to work, with a willingness to learn, adapt, and grow within a collaborative HR environment.
