Reporting to the Director of Athletics & Wellness, the Events and Communications Coordinator is responsible for the delivery of all aspects of approximately 50 annual department events, including fundraisers and home varsity games - on and off campus, and campus recreation programming, particularly during the academic year.
This position requires a keen interest in sport and recreation, as well as knowledge of the local, provincial, and national collegiate sport environment. The coordinator is also responsible for enhancing the student experience on campus through event management and coordinating all aspects of such events; consultation for publications, special awards, web site development and maintenance, photograph inventory, and record keeping; and department image and public profile building.
Responsibilities:
Athletics:
- Responsible for the hiring, supervising, training, and evaluation of all home event employees.
- Ensure appropriate delivery of game day events, as required by the ACAC and CCAA.
- Plan and deliver all special and regular promotional activities surrounding home events.
- Assist with the promotion and publicity of all athletic department events and various activities within the department.
- Develop an appropriate and acceptable home event plan.
- Assist with the promotion and publicity of all athletic department events.
- Work with the Athlete Services Coordinator for media and game announcement activities.
- Ensure the proper electronic compilation of statistics.
- Ensure proper event facility setup and cleanliness.
- Ensure adequate security for each event.
- During the off-season, develop specific operational plans for event management and staffing for the coming year in cooperation with marketing and facility personnel.
- Provide event support for student-athlete orientation, athletics awards banquet, and other department events (as required).
- Assist in the planning of championship events hosted by the athletics department.
- Work to attract corporate and business sponsorships to aid the cost of the athletics program.
- Plan, coordinate and execute fundraising events to help with the athletics budget and scholarship fund.
- Ensure functional, safe equipment for each user group, event and home game, and ensuring it is retrieved and returned after the event is over.
- Develop and distribute announcement flyers, banners, posters, and notices to advertise events relevant to the Athletics Department and to help create brand recognition.
- Assist in creating brand recognition for the athletics program through social media.
- Establishing and implementing annual marketing plans to promote home game events with the express purpose of increasing attendance.
- Ensuring all home events are live streamed through ACACTV.
- Reporting results of home events in a timely manner according to ACAC protocol, including game recaps on the ACAC and Thunder athletics website.
- Assisting coaches with equipment needs throughout the year.
- Scheduling and tracking of staff hours.
- Providing hospitality to visiting teams and officials.
- Monitor the payroll of game day staff.
- Fulfilling CUE’s administrative and committee responsibilities to the ACAC and CCAA, as required.
- Other duties as requires.
Campus Recreation:
- Coordinating Campus recreation opportunities on campus
- Schedule and provide support for Fitness Centre Supervisors.
- Ensuring the fitness centre is a safe and clean space for students, staff, and faculty.
- Support campus recreation promotion on campus and through social media platforms
Requirements:
- A bachelor’s degree, preferably in a related field (e.g. sport management, kinesiology, physical education, management) is required.
- A minimum of two (2) years of related event management experience, preferably in a post-secondary environment is required.
- Additional volunteer and/or coaching experience would be considered an asset.
- Valid class 5 Drivers’ License with the ability to provide a clear current driver’s abstract is required.
- Satisfactory Criminal Records Check results.
- Evenings, weekends, and flexible hours is expected.
