As we continue to grow, we are seeking an organized, proactive, and detail-oriented Dispatch, Logistics & Cross-Border Permits Coordinator to join our team.
Position Summary
The Dispatch, Logistics & Cross-Border Permits Coordinator is responsible for coordinating the daily movement of freight and fleet assets while ensuring compliance with transportation, safety, and regulatory requirements. This role serves as the primary link between drivers, customers, brokers, and internal operations, ensuring shipments are dispatched efficiently, delivered on time, and supported with the required permits and documentation.
Key Responsibilities
Dispatch & Logistics Coordination
- Schedule and dispatch trucks, trailers, and drivers for daily operations.
- Assign and optimize loads based on equipment availability, delivery schedules, and driver Hours of Service (HOS).
- Monitor fleet activity using GPS and dispatch software.
- Track shipments in real time and provide updates to customers and stakeholders.
- Plan efficient routes while considering weather, road conditions, border crossings, and delivery requirements.
- Coordinate long-haul, short-haul, cross-border, reefer, flat deck, step deck, heavy haul, and specialized equipment movements.
Cross-Border Compliance & Permitting
- Coordinate freight movements between Canada and the United States.
- Prepare and verify customs and shipping documentation.
- Work closely with customs brokers, customers, and drivers to facilitate smooth border crossings.
- Obtain and manage oversize, overweight, specialized transport, fuel, and trip permits.
- Ensure permits and regulatory requirements are in place before equipment is dispatched.
- Maintain company registrations, licensing, and operating authorities as required.
Driver & Customer Support
- Serve as the primary point of contact for drivers during transit.
- Provide direction and support for delays, route changes, breakdowns, weather events, and other operational challenges.
- Communicate professionally with customers regarding shipment status and service updates.
- Build and maintain positive relationships with drivers, customers, brokers, and third-party carriers.
Compliance & Administration
- Ensure compliance with applicable transportation regulations, including HOS, NSC, TDG, FMCSA, and Transport Canada requirements.
- Maintain accurate records of shipments, permits, mileage, fuel usage, and operational documentation.
- Process Bills of Lading, rate confirmations, customs documents, dispatch records, and other transportation paperwork.
- Enter and maintain data within Transportation Management Systems (TMS).
- Support billing, payroll, and reporting functions through accurate recordkeeping.
Qualifications
Required
- High School Diploma or equivalent.
- Minimum 1–3 years of experience in dispatch, transportation, logistics, freight brokerage, or a related field.
- Strong computer skills and proficiency with dispatch software, GPS tracking systems, and Microsoft Office.
- Excellent communication, organizational, and multitasking abilities.
- Strong problem-solving skills and the ability to make sound decisions under pressure.
- High attention to detail and a commitment to customer service.
Preferred
- Experience with cross-border transportation and customs processes.
- Knowledge of oversize and overweight permitting requirements.
- Experience in flat deck, step deck, heavy-haul, oilfield, reefer, or specialized equipment transportation.
- Familiarity with Transportation Management Systems (TMS), load boards, and border clearance platforms.
- Knowledge of provincial, federal, and U.S. transportation regulations.
