Job Summary
We are seeking an organized, proactive, and detail-oriented Office Manager / Accounts Payable to oversee daily administrative operations and ensure the office runs efficiently. The Office Manager will be responsible for managing and processing accounts payable, payroll processing, HR administration and general office management, while supporting leadership and employees across the organization. This role is ideal for someone who enjoys wearing multiple hats, thrives in a challenging environment and takes pride in keeping an office running smoothly. This position is for 12 months to cover a maternity leave.
Responsibilities
- Process vendor invoices, expense reports, and payments accurately and on time.
- Reconcile accounts payable and resolve discrepancies.
- Manage bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and financial record keeping.
- Reconcile credit cards and bank accounts.
- Handle human resources functions such as payroll processing, employee onboarding, training & development, and maintaining personnel records
- Process payroll accurately and on schedule.
- Maintain payroll records, deductions and benefits information.
- Ensure compliance with payroll regulations and deadlines.
- Maintain organized filing systems for documents, contracts, and vendor information
- Manage vendor relationships and procurement processes to ensure timely delivery of supplies and services
- Assist with budgeting activities and monitor office expenses to stay within financial guidelines
- Post accurate journal entries in Quickbooks.
- Tax remittances.
- Ensure effective communication across teams through clear organizational practices and team management strategies
- Assist with monthly and year end reporting as required
Qualifications
- Proven experience in office management. accounts payable, HR Administration (Combined role preferred)
- Proficiency in QuickBooks for bookkeeping and payroll processing or another accounting software
- Strong understanding of basic accounting principles.
- Knowledge of human resources practices,
- Strong communication skills with excellent phone etiquette and interpersonal abilities
- Experience working with banks and multicurrency transactions - CAD/USD
- Demonstrated ability to handle clerical tasks such as filing, data entry, and document management
- Office experience combined with excellent organizational skills is essential
- Ability to multitask efficiently in a fast-paced environment
