We are looking for a proactive and detail-oriented Administrative Coordinator to join our team. This role is vital in ensuring the efficient operation of our office and enhancing our client service experience. Key Responsibilities:
- Office Administration:
- Manage daily office operations, including scheduling appointments, handling correspondence, and maintaining filing systems.
- Assist in the preparation and organization of client files and documentation related to immigration processes.
- Client Relations:
- Act as a welcoming point of contact for clients, providing exceptional service and support.
- Address client inquiries through phone, email, and in-person interactions, ensuring timely and professional responses.
- Maintain accurate and confidential records of client interactions and services provided.
- Data Management:
- Oversee data entry and management of client information in our secure database.
- Ensure the confidentiality and integrity of sensitive data, adhering to relevant privacy regulations.
- Collaboration and Support:
- Collaborate with immigration consultants and legal advisors to facilitate smooth service delivery.
- Assist in the development and implementation of office protocols and procedures to enhance operational efficiency.
- Documentation and Reporting:
- Prepare reports and other documentation as required for management and compliance purposes.
- Contribute to the analysis of service delivery data to identify opportunities for improvement.
Qualifications:
- Bachelor’s degree or Diploma in Business Administration, Healthcare Administration, Office Administration, or a related field.
- Experience in administrative roles.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
- Exceptional organizational skills with acute attention to detail.
- Strong verbal and written communication abilities.
- Ability to work independently and collaboratively in a fast-paced environment.
- Familiarity with immigration processes and regulations is an asset.
