About the Role
As a Claims & Receiving Coordinator, you will play a critical role in ensuring product issues are resolved efficiently while supporting the accurate flow of inventory through our warehouse. You will be managing product claims from initiation through resolution, acting as the key liaison between clients, vendors, and internal teams.
In addition, you will oversee the receiving process, ensuring incoming products are accurately recorded and allocated to customer orders. This role requires strong attention to detail, exceptional communication skills, and a proactive approach to problem-solving.
Key Responsibilities
Claims Management
- Manage product claims from initiation through resolution.
- Review, document, and process claims for damaged, defective, or missing merchandise.
- Submit claims to vendors and follow up to ensure timely resolution.
- Communicate proactively with clients regarding claim status, timelines, and next steps.
- Maintain accurate records and supporting documentation for all claims.
- Collaborate with sales, customer service, and warehouse teams to resolve issues efficiently and deliver positive outcomes for clients.
Receiving & Inventory Allocation
- Ensure all incoming products are accurately received into the warehouse management system.
- Verify product quantities and condition upon arrival.
- Allocate received inventory to the appropriate customer orders in a timely manner.
- Maintain accurate receiving records and inventory information.
- Identify and report receiving discrepancies or product concerns.
Administrative & Team Support
- Ensure all receiving and claims documentation is completed accurately and filed appropriately.
- Assist with customer follow-up and order-related communication as required.
- Support cross-functional communication between sales, customer service, and warehouse teams.
- Contribute to continuous improvements in operational processes and client experience.

- Claims are processed accurately and resolved in a timely manner.
- Clients receive clear, professional, and proactive communication throughout the claims process.
- Incoming inventory is received and allocated accurately.
- Documentation and records are maintained with a high degree of accuracy.
- Strong collaboration across departments contributes to a seamless customer experience.
Qualifications & Skills
- 2+ years of experience in claims administration, customer service, inventory control, receiving, logistics, or a related field.
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and follow issues through to resolution.
- Customer-focused with strong problem-solving abilities.
- Proficiency with Google Workspace is an asset.
- Experience within the furniture, interior design, home furnishings, logistics, or distribution industries is considered an asset.
Job Type: Full-time
Pay: $50,000.00-$55,000.00 per year
