Finance & Administration Coordinator
Reports To: Executive Director
Position Type: Part-Time (15–24 hours/week)
Position Summary
Rainbow Kitchen Society is seeking a Finance & Administration Coordinator to oversee day-to-day financial operations and support the organization's financial accountability and sustainability. Reporting to the Executive Director, this role is responsible for assisting with bookkeeping, financial reporting, payroll administration, grant tracking, audit preparation, compliance, and financial process improvement.
The Coordinator will work with staff and the Board Treasurer as well as auditors, funders, and financial institutions to ensure accurate financial management, transparent reporting, and effective financial systems.
Key Responsibilities;
Financial Administration
- Maintain accounting records and process financial transactions using Sage or similar accounting software.
- Manage accounts payable, accounts receivable, deposits, reconciliations, journal entries, and general ledger activities.
- Monitor cash flow, banking activity, and financial records to ensure accuracy and compliance.
- Maintain organized financial documentation and records.
Financial Reporting & Budgeting
- Prepare monthly and year-end financial reports, reconciliations, and supporting schedules.
- Assist with budget development, forecasting, and variance analysis.
- Provide financial information and recommendations to organizational leadership and the Board.
Assisting with the preparation of;
Grants, Compliance & Audit
- Track grant and restricted funding, ensuring compliance with funding agreements.
- Prepare financial reports for funders and support grant budgeting.
- Coordinate annual audits and prepare required schedules and documentation.
- Administer GST rebates, charitable receipting records, and other required financial filings.
- Support compliance with CRA requirements, organizational policies, and accounting standards.
Payroll & Donor Administration
- Administer payroll and maintain related records and reporting.
- Issue charitable tax receipts and maintain donor records.
- Respond to routine financial inquiries from vendors, funders, donors, and stakeholders.
Systems & Organizational Support
- Support continuous improvement of financial systems, processes, and internal controls.
- Assist with implementation of cloud-based financial tools and technology upgrades.
- Coordinate and support volunteer financial personnel to ensure continuity of key finance functions.
- Prepare materials for Finance Committee meetings and participate in organizational planning as required.
- Perform other related duties as assigned.
Qualifications
- Diploma, certificate, or degree in Accounting, Bookkeeping, Business Administration, Finance, or a related field.
- Minimum 3 years of bookkeeping, accounting, or financial administration experience.
- Experience with Sage or similar accounting software.
- Experience with financial reporting, budgeting, payroll, audits, or grant administration.
- Nonprofit or charitable sector experience is an asset.
- Equivalent combinations of education and experience may be considered.

- Proficiency with Microsoft 365, Google Workspace, and accounting software.
