Position Summary
We are seeking a highly organized and proactive Sales Administrative Assistant to support the Director of Asian Seafood and her team. This role combines administrative coordination with accounting support, including order processing and cash application for customer payments.
The ideal candidate will have strong knowledge of the fresh seafood industry and be fluent in English, Cantonese, and Mandarin.
Key ResponsibilitiesPre-Delivery Support
- Prepare Excel spreadsheets summarizing product allocations for customers
- Assist in preparing customer packing slips for order fulfillment
- Review proforma invoices generated from completed packing slips
- Support the preparation of driver run sheets for deliveries
Post-Delivery Support
- Review signed proforma invoices and document customer adjustments
- Process cash applications for customer payments
- Follow up on short payments and discrepancies
- Distribute Accounts Receivable (AR) statements and monitor outstanding balances
- Follow up with customers on overdue payments
Sales Order Support
- Assist with receiving customer orders
- Prepare and process packing slips
Additional Duties
- Provide basic direction to warehouse staff as needed
- Support the Asian Sales Director and senior management with administrative tasks
- Assist in cross-functional tasks to support business operations
Qualifications
- Strong knowledge of fresh seafood products (required)
- Experience in the food or retail industry (asset)
- Fluency in English, Cantonese, and Mandarin (required)
- Proficiency in Microsoft Excel and administrative systems
- Experience with accounting processes (AR, cash applications) preferred
- Must be willing to undergo a criminal background check
