Overview
Wholesome Psychology is one of Alberta’s fastest-growing psychology practices, with multiple locations across Edmonton and St. Albert and a team of over 40 therapists. We are proud to provide a warm, professional, and welcoming environment where clients feel cared for and our clinicians can focus on what they do best. As our practice continues to expand, we are seeking proactive and detail-oriented Administrative Assistants to join our team. This role is central to ensuring our offices run seamlessly and that every client experience reflects the Wholesome standard of care.
Key Responsibilities
- Manage front desk operations: greet clients with warmth, handle inquiries, and ensure a welcoming, professional environment.
- Use Jane (our clinic management platform) to manage scheduling, client records, and billing processes.
- Utilize Microsoft Office and Google Workspace for creating documents, spreadsheets, and presentations.
- Answer and direct calls on a multi-line phone system, demonstrating professionalism and excellent phone etiquette.
- Provide responsive client support by addressing questions and concerns with empathy and efficiency.
- Proofread documents to ensure clarity, accuracy, and professionalism.
- Collaborate with team members to streamline administrative processes and support overall clinic operations.
Qualifications & Experience
- Previous administrative experience is required, with preference given to those who have worked in a psychology or healthcare office.
- Familiarity with Jane is a strong asset.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Strong attention to detail with fast and accurate typing skills.
- Experience in customer service or client-facing roles, with the ability to communicate clearly and compassionately.
- Ability to handle multiple tasks simultaneously while maintaining organization and professionalism.
