MOA Job description
We are seeking a Full-Time Medical Office Assistant to join our team.
The ideal candidate is a team- player, with excellent interpersonal skills, who works well under pressure and is able to balance and successfully prioritize multiple duties. This role requires collaborative relationships with colleagues and patients. It is an excellent opportunity for a friendly, organized and detail-oriented Medical Office Assistant.
This position reports to the Office Manager.
Anticipated Start Date: August, 2026
Working Hours:
Monday to Friday, between 8:30 a.m. and 5:00 p.m.
(No evenings or weekends; Fridays are typically finished early.)
Position Duties & Responsibilities
- Maintaining patient confidentiality at all times
- Front desk reception, client care, and Electronic Medical Record (EMR) management
- Answering phones on a multi-line switchboard; fielding and directing calls, relaying messages, and contacting patients as required
- Booking new and follow-up patient appointments including procedures and surgeries, and providing confirmation calls as required
- Receiving, greeting, and directing patients, vendors, and visitors; responding to general inquiries in a professional and positive manner
- Monitoring and maintaining the patient waiting area
- Receiving, sorting, and directing incoming packages, mail, faxes, and scans
- Creating and maintaining accurate and up-to-date patient records using an EMR system
- Directing and assisting patients to exam rooms; assisting physicians with procedures; collecting specimens; taking vitals; stocking exam rooms
- Communicating patient and clinic needs in a timely and effective manner
- Completing medical billing and resubmissions to AHS using EMR software
- Collecting payments for uninsured services when required
- Laundering gowns and clinic linens as required
- Collecting and entering patient data into EMR
- Answering patient questions and concerns in a supportive and informative manner
- Accessing Alberta Netcare & Connect Care as required
- Cleaning and organizing exam rooms between patients and at the end of each day
Qualifications:
- High School Diploma or GED (Required)
- Medical Office Assistant (MOA) Diploma or a minimum of three (3) years of direct experience working as a Medical Office Assistant (Required)
- Connect Care (Preferred)
- Previous experience with Electronic Medical Records (EMRs), assisting physicians, and Alberta Health Services (AHS) billing is considered a strong asset.
Priority will be given to candidates with experience using Connect Care, EMR systems, physician assistance, and AHS billing.
Skills & Experience
- Strong functional knowledge of front desk operations and patient flow
- Knowledge of medical terminology and medical records management
- Knowledge of primary healthcare, billing, diagnostic, and service codes considered a strong asset
- Minimum of three years of relevant healthcare experience, preferably in a primary care setting
- Proficiency with Windows-based systems and EMR platforms
- Experience handling confidential and sensitive information
- Computer proficiency required; experience with Microsoft Office (Outlook, Word, Excel) considered an asset

Additional Requirements
- Criminal Background Check, including a Vulnerable Sector Search, required prior to start date (must be valid within 90 days of hire)
