Job Summary:
We are seeking a detail-oriented and organized Administrative Assistant to support our daily operations. The ideal candidate will possess strong communication skills, a proactive attitude, and the ability to manage multiple tasks in a fast-paced environment. This role is essential for ensuring the smooth functioning of our office and supporting various teams in the execution of their duties.
Key Responsibilities:
Provide administrative support to the management team and project managers.
Manage and maintain office files, records, and documentation in an organized manner.
Answer and direct phone calls, take messages, and respond to inquiries in a professional manner.
Schedule and coordinate meetings, appointments, and travel arrangements.
Maintain inventory of office supplies and place orders as necessary.
Perform accounts payable, invoicing, financial recordkeeping, and other accounting-related duties as required.
Support HR functions, including recruitment and onboarding processes.
Provide exceptional customer service to clients, subcontractors, and vendors.
Handle confidential information with discretion and professionalism.
Qualifications:
High school diploma or equivalent required; business administration diploma or related field preferred.
Minimum of two years of experience in an administrative support role, including accounts payable and accounts receivable. Previous experience in the construction industry is preferred.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Experience with Sage 50 considered an asset.
Strong organizational skills with the ability to prioritize tasks and manage time effectively.
Excellent verbal and written communication skills.
Attention to detail and problem-solving abilities.
Ability to work independently and as part of a team.
Familiarity with construction terminology and documents is a plus.
