The Opportunity
The Financial Planning Administration Assistant is a dynamic role that supports GIMs Financial Planners helping to build strong, trusted relationships with clients. As one of the first points of contact with clients, this role will champion the client experience by responding to inquiries, processing transactions, and completing outreach activities with professionalism and care. In addition, this position will providing day-to-day administrative support, assisting with the coordination of marketing initiatives. This role is ideal for a highly organized, resourceful team player with strong critical thinking skills, exceptional attention to detail, and comfort working in an entrepreneurial environment.
Position Overview and Responsibilities
The Financial Planning Administration Assistant is instrumental in developing strong internal and external relationships working closely with clients, trusted partners and credit union colleagues to deliver best in class service. Primary responsibilities include but are not limited to:
- Responding to client inquiries on existing portfolios, providing investment information, or processing buy-sell orders
- Assisting with the opening of client accounts and conducting account maintenance
- Contacting clients to book appointments or provide service follow-up
- Maintaining files, records and documentation, as required by regulatory authorities
- Assisting in the distribution, maintenance, verification, completion and filing of financial planning records and reports
- Identifying opportunities for other lines of business and ensuring an effective referral process for incoming and outgoing referrals
Qualifications
Education and Experience:
- Minimum 3 years of experience in a financial institution or investment firm
- Willing to obtain investment industry licensing as determined by employer
- Demonstrated experience with Microsoft Office suite; Excel, Word, Outlook
- Completion of post secondary education in financial planning, office or business administration preferred
- Experience with life insurance administration preferred
- Experience working with Customer Relationship Management software preferred
- OR an equivalent combination of education and experience
