We are looking for a highly organized and motivated Project & Office Administrator to join our growing team. This position is ideal for someone who enjoys variety, thrives in a fast-paced environment and takes pride in keeping projects and office operations running smoothly.
No restoration experience? No problem. We will provide the training needed to succeed.
Position Summary
As our Project/Office Administrator, you will be a key member of our operations team, providing administrative support for restoration projects while helping maintain the day-to-day efficiency of the office. You will work closely with Project Managers, Estimators, Production staff, customers, insurance adjusters, subcontractors and suppliers.
This is a dynamic role where no two days are the same.
Project Administration
- Create and maintain electronic and paper project files.
- Prepare work authorizations, contracts and project documentation.
- Support Project Managers with scheduling, project coordination and administrative tasks.
- Track project progress and follow up on outstanding documentation.
- Assist with estimates, change orders, invoicing and project close-out documentation.
- Coordinate communication between customers, insurance adjusters, subcontractors and suppliers.
- Ensure project files remain accurate, complete and organized.
Office Administration
- Answer incoming telephone calls and direct inquiries professionally.
- Welcome customers, vendors and visitors.
- Maintain organized filing systems and company records.
- Order office supplies and coordinate office equipment servicing.
- Process incoming mail, emails and general correspondence.
- Assist with general office administration and day-to-day operations.
Administrative Support
- Perform data entry with a high level of accuracy.
- Assist with reporting and document preparation.
- Support accounting with invoice processing and administrative tasks as required.
- Maintain confidentiality of company and customer information.
- Provide additional administrative support to the leadership team as needed.
Qualifications
- Previous administrative or office experience is preferred.
- Excellent organizational and time management skills.
- Strong attention to detail.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office (Outlook, Word and Excel).
- Ability to prioritize multiple tasks in a fast-paced environment.
- Professional, positive and customer-focused attitude.
- Experience in construction, restoration or the insurance industry is considered an asset but is not required.

Pay: $19.00-$30.00 per hour
