Primary Purpose:
The Office Assistant / Court Runner plays a key role in supporting the daily operations of the Saskatoon office by ensuring the smooth and efficient flow of administrative and court-related tasks. This position is responsible for providing a professional, welcoming and positive client experience by greeting and directing visitors, managing front-desk activities and supporting the daily administrative operations of the Firm. This role involves extensive daily walking throughout the downtown area in all weather conditions attending at court houses, banks and other businesses in the downtown area. Reporting to the Saskatoon Office Manager and working closely with legal professionals and support staff, this position requires a high level of professionalism, reliability, and discretion. The successful candidate will demonstrate strong organizational and communication skills, the ability to multitask effectively, and a proactive approach to problem-solving. Responsibilities include general office support, document delivery and retrieval from court and other locations, and assisting with various administrative duties as needed to support the team and maintain operational efficiency.
Key Accountabilities:
Court and External Deliveries
- Attend daily court runs, ensuring proper procedures are followed at the Provincial Court, Court of King’s Bench, and other legal institutions and businesses in downtown Saskatoon.
- Deliver and retrieve legal documents and materials from courts, law firms, and other external locations in a timely and professional manner.
- Attend daily to banks to deliver and retrieve as necessary.
Reception and Office Support
- Provide back-up reception coverage as required, including greeting visitors, answering phones, and managing front desk responsibilities.
- Maintain continuity of receptionist duties during coverage periods to ensure smooth front office operations.
Records and File Management
- Assist legal assistants with general filing tasks and document organization.
Document Services
- Perform copying, scanning, and binding tasks to support legal assistants and other staff.
- Prepare outgoing and incoming couriers and mail, including registered mail and express-post parcels, ensuring accurate labeling and timely dispatch.
Other Duties
- Carry out additional administrative or operational tasks as assigned by the Saskatoon Office Manager.
Experience and Qualifications
- Minimum of 1 year of experience in customer or client service, with front desk or reception experience considered an asset.
- This role involves extensive daily walking throughout the downtown area in all weather conditions. Applicants should be capable of performing these essential duties safely and reliably, with or without reasonable accommodation.
- Prior experience working in a professional office environment is preferred.
- Exposure to or experience in a legal setting is considered an asset.
- Experience with working in Excel and Word.
