Position Summary: Plans, organizes, and executes all outbound shipping activity — ensuring orders are picked, packed, documented, and dispatched accurately, safely, and on time, while safeguarding product integrity and food-safety (HACCP) compliance.
Key Responsibilities
- Plan, organize, and prioritize the daily and weekly outbound shipping schedule based on order volume, carrier availability, and customer ship-by dates.
- Assign loads to dock doors and coordinate door/yard availability and appointment windows with carriers and the warehouse floor.
- Release pick lists and communicate priorities, wave timing, and cut-off times to pickers, packers, and loaders.
- Verify order accuracy (product, quantity, lot/batch, and labeling) against the sales order before release.
- Ensure orders are correctly staged, palletized, shrink-wrapped, banded, and secured for safe transport.
- Prepare, review, and issue all outbound documentation — bills of lading (BOL), packing slips, manifests, commercial invoices, and export/customs paperwork — for accuracy and completeness.
- Select and book carriers (LTL/FTL/parcel), compare and negotiate freight rates, and schedule pickups to meet delivery commitments.
- Track outbound shipments end-to-end, proactively identify delays or exceptions, and communicate status and ETAs to customers and internal teams.
- Maintain accurate shipping records in the WMS/ERP and reconcile shipped orders against sales orders, invoices, and inventory.
- Investigate and resolve shipping discrepancies, short/over shipments, damage claims, and customer complaints, and drive root-cause corrections.
- Monitor and report shipping KPIs (on-time shipment, accuracy, dock-to-ship cycle time) and recommend process improvements.
- Coordinate with Receiving, Operations & Planning, and Dispatch to balance labor, level workload, and meet ship dates.
- Enforce safe loading practices, correct load distribution and weight limits, and a clean, organized, traffic-safe shipping area.
- Support continuous-improvement initiatives and cross-train and guide shipping associates as needed.
HACCP / Food-Safety Responsibilities
- Conduct and document a pre-loading inspection of every outbound shipment — verifying product condition, lot/batch codes, expiry/best-before dates, and label accuracy; quarantine and refuse to ship any damaged, contaminated, mislabeled, or out-of-spec product.
- Inspect and confirm each trailer/container before loading is clean, dry, odor-free, free of pests and debris, and structurally sound (no leaks or protruding nails); record the trailer inspection.
- Follow and enforce Good Manufacturing Practices (GMP), Sanitation Standard Operating Procedures (SSOP), and personal-hygiene requirements in the staging and loading areas.
- Maintain the pest-control and sanitation standards of the dock and loading zone, and report any pest activity or sanitation failure immediately.
- Apply correct loading patterns and segregation to prevent cross-contamination, allergen contact, and physical damage (e.g., separating raw/finished, food/non-food, and allergen-containing product).
- Ensure full lot/batch traceability by accurately recording what product, lot, and quantity ships on each load to support rapid mock and actual recalls.
- Apply documented corrective actions whenever a deviation or critical-limit failure is identified, and escalate to the HACCP/Food Safety team.
- Support food-safety and FSMA/HACCP audits by maintaining complete, legible, and retrievable shipping records.
Key Skills & Qualifications
- High school diploma or equivalent; logistics/supply-chain coursework an asset.
- 2+ years shipping/warehouse experience; familiarity with BOL and export documentation.
- Proficiency with WMS/ERP and MS Office (especially Excel); strong attention to detail.
- Strong organization, communication, and time-management skills; performs well under deadline pressure.
Pay: $50,000.00-$55,000.00 per year
