Purpose
The Fundraising and Events Assistant supports the coordination and execution of fundraising events for the Root Cellar Food & Wellness Hub. This role is designed to provide quality work experience and opportunities to develop foundational skills in nonprofit administration, marketing, and fund development. The Assistant will learn fundamental processes, support team fundraising targets, and develop hands-on skills in donor relations, digital communications, and event logistics through direct mentorship and supervision.
Qualifications
- Must be between the ages of 15 and 30 years of age at the start of employment (Canada Summer Jobs requirement).
- Must be a Canadian Citizen, or permanent resident
- Must have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations.
- Demonstrated experience with Canva or other graphic design tools, with a strong eye for layout and visual storytelling. (Applicants will be asked to provide 2-3 examples of their design work).
- Highly flexible and available to work irregular hours, including evenings and weekends, to align with our event calendar.
Responsibilities
Special Event Coordination
- Assist the Events Coordinator with logistical coordination, material design, production, and distribution for all special events.
- Support event activity execution, including set-up, tear-down, and managing event signage and donation bins.
- Support the training and supervision of event volunteers under the direction of the Events Coordinator.
Sponsor & Donor Relations
- Assist the Donations Coordinator in coordinating the sending of thank you notes and acknowledgments to all event donors and sponsors in a timely and professional manner.
- Assist the Donations Coordinator to learn, develop, and maintain event software and donor databases (e.g., inputting data and running reports in Bloomerang).
- Assist the Donations Coordinator with the tracking and fulfillment of in-kind donation solicitations and negotiations.
Graphic Design & Digital Marketing
- Support in designing engaging, high-quality promotional materials and event signage using Canva (or similar design software).
- Assist with the development and execution of social media marketing plans for events, ensuring all graphics align with the Root Cellar’s brand identity.
- Support the preparation and visual layout of monthly e-newsletters and digital appeals.
Financial & Compliance
- Assist with the completion of all required paperwork and applications related to AGLC activities (Casino, Bingo, 50/50, raffle).
- Learn basic budget monitoring and record-keeping for event finances.
Physical Requirements
- Frequent navigation between the main floor and the second floor (e.g., retrieving event supplies, signs, and donation bins) is required. Our building does not have an elevator. The ability to safely and regularly use the stairs is required to fulfill the duties of this position.µ Sitting for periods of time (Computer use at a desk),

Training and Orientation
- Orientation for this position is coordinated by the Operations Manager and includes all relevant team members, external stakeholders, and volunteer resources.
- Specific training on managing volunteers and utilizing donor databases is provided.
