Position Summary
The Property Administrator is responsible for supporting the day-to-day administrative and operational functions for a portfolio of properties. This role serves as a key liaison between tenants, vendors and the Property Management team, ensuring efficient property operations, accurate record management, and high-quality tenant service.
The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment while ensuring compliance with processes and protocols as outlined in the various lease documents.
Key Responsibilities
Tenant Relations & Leasing
- Act as the initial point of contact for tenant inquiries, service requests, and general communication.
- Maintain positive tenant relationships by responding in a timely and professional manner.
- Leasing administration, including filing executed leases and maintaining accurate tenant records and various other elements of document control and maintenance
- Notify management of upcoming lease renewals and support related documentation as required.
- Address tenant concerns and escalate complex issues to management as required.
Property Operations
- Coordinate and track maintenance requests, repairs, cleaning services, and minor renovations.
- Liaise with external vendors and contractors to schedule and follow up on services.
- Ensure service requests are completed within expected timelines and standards.
- Maintain and organize all maintenance, inspection, and tenant communication records, ensuring accuracy and proper documentation.
Financial Administration
- Support rent collection by following up on outstanding balances.
Administrative Support
- Maintain organized and up-to-date tenant, lease, and property records.
- Manage digital filing systems, including shared drives and email correspondence.
- Ensure all documentation is accurate, complete, and easily accessible.
- Support internal administrative processes related to property operations.
Qualifications & Skills
Education & Experience
- High school diploma required.
- Post-secondary education in Business Administration, Real Estate, or a related field is an asset.
- 1–3 years of experience in property administration, real estate, or a similar administrative role preferred.
Technical Skills
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Experience with Yardi property management system is an asset.

Salary Range: $50,000 - 65,000 CAD annually
