We're Hiring: Full Time Patient Care Coordinator/Office Manager

About Us
We’re a collaborative, health-focused clinical team dedicated to providing exceptional patient care in a supportive and organized environment. We’re looking for a confident, proactive Patient Care Coordinator who can grow into or step directly into the Office Manager role. This is a key position supporting both our patients and practitioners, and helping our clinic run smoothly day to day.
What You’ll Do
Patient Care & Administrative Duties (Core Role):
- Greet and assist patients with warmth and professionalism
- Manage bookings, scheduling, and communications
- Handle payments and insurance claims
- Maintain accurate and organized patient records
- Respond to phone calls, emails, and inquiries
- Keep the clinic space clean, stocked, and welcoming
- Support practitioners and coordinate with external professionals
Office Management & Operations (Growth Responsibilities):
- Assist in inventory management
- Oversee EFT payments and reconcile transactions
- Track and report key performance indicators (KPIs) and clinic statistics
- Support hiring, onboarding, and training of administrative staff if needed
- Contribute to bookkeeping and year-end preparation
- Lead process improvements to keep the clinic efficient and organized
- Create and schedule social media content
What We’re Looking For
- 1+ year of experience in a clinical, wellness, or administrative office setting
- Strong working knowledge of Jane App (required)
- Excellent communication, organization, and multitasking skills
- Comfortable working independently and taking initiative
- Tech-savvy with experience using Google Workspace and cloud-based tools
- A collaborative, professional, and positive attitude
Bonus Skills:
- Experience creating social media content or managing small business accounts
- Leadership, training, or team support experience

Schedule
- 8-hour shifts
- Monday to Friday
- Occasional evenings or weekends as needed
Requirements
- Education: Secondary School (required)
- Language: English (required)
- Software: Jane App proficiency (required)
- Experience: 1 year in a clinical or medical office (preferred)
