Overview
Ofuro Station Zen, a premier Spa & Centre de Bien-être, is seeking a dedicated Réceptionniste to join our welcoming team. This role is vital in providing exceptional customer service and ensuring smooth daily operations at our wellness center. The ideal candidate will possess strong organizational skills, excellent communication abilities, and experience with administrative tasks in a fast-paced environment. Prior experience with medical or dental office procedures is a plus, along with proficiency in various office software tools. This position offers an engaging work environment focused on health, relaxation, and client satisfaction.
Responsibilities
- Greet clients warmly and professionally upon arrival, ensuring a positive first impression
- Manage multi-line phone systems to handle inquiries, appointment scheduling, and client follow-up
- Maintain accurate appointment bookings using scheduling software and data entry systems
- Handle front desk operations including check-in/check-out procedures and client registration
- Process payments and manage billing using QuickBooks or similar accounting software
- Maintain organized filing systems for client records, invoices, and administrative documents
- Provide exceptional customer support by addressing client questions and concerns with professionalism and courtesy
- Ensure the reception area remains tidy, welcoming, and well-stocked with necessary supplies
- Assist with administrative tasks such as proofreading documents, managing correspondence, and supporting team members as needed
Experience
- Previous clerical or administrative experience in a customer service setting preferred
- Experience working in a medical or dental office environment is advantageous
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with QuickBooks or bookkeeping software is a plus
- Strong organizational skills with attention to detail and accuracy in data entry and filing
- Excellent phone etiquette and communication skills for handling multi-line phone systems and client interactions
- Ability to multitask efficiently in a busy environment while maintaining professionalism
- Prior experience in front desk roles or customer support positions is highly desirable
