Starting Salary $43,769.33

POSITION SUMMARY
The primary responsibility of the Events & Experience Coordinator is to provide overall coordination and administrative support services to the Events & Experience team. This will include working collaboratively with volunteers, the Content, Growth and Engagement teams and other members of United Way to ensure that the events and experience programming needs are effectively fulfilled.
This position is part of the bargaining unit represented by Unifor Local 191 and is governed by the terms and conditions of the applicable collective agreement.
RESPONSIBILITIES
Participate as a member of the bargaining unit, specifically Unifor and it's Local 191
Providing primary administrative support to the Events & Experience team, which includes:

Maintaining accurate and complete data files within our organizational CRM system for use in marketing and event activities, including creating large, detailed mail lists, updating profiles, report generation and managing timelines

Coordinating event attendance, including RSVPs and ticket sales

Maintaining up-to-date event information on our organizational website.

Coordination of email communications, such as event invitations and reminders, through our organizational CRM, including the creation, proofing, and sending of emails.

Preparing routine correspondence and handling telephone enquiries by providing accurate and sensitive responses

Coordinating internal and volunteer meeting catering and spaces, including equipment and virtual meeting bookings

Recording internal and volunteer meeting minutes as required

Working with the Events & Experience team to collaborate and assist with the conceptualization, planning and execution of United Way Winnipeg events and experiences

Providing setup, tear down, logistics and registration support for events and experiences
-
Coordinate and communicate with staff and volunteer support (option: for events and experiences)

Providing administrative and production support for third-party events
-
Administering budget tracking and financial reconciliation (option: for events and experiences)

Providing any other administrative support, including support to the Content, Growth and Engagement teams, as required

Participate in regular department or team meetings

Assist others in the organization by completing other duties as assigned, such as switch board relief

Work as a team with all members of the organization on special projects such as the Annual General Meeting and other organizational events and initiatives
QUALIFICATIONS/EXPERIENCE
You possess the following qualifications or an equivalent combination of education and related experience:

A certificate or degree in Business Administration, Creative Communication or Recreation Management and Community Development and/or an equivalent of experience

Proficiency in Microsoft Office, including formula creation and data merges

Knowledge of event planning process

Experience in CRM or other data management systems

Proficient in virtual meeting platforms such as Zoom and Microsoft Teams

Ability to learn and thrive in a dynamic, fast-paced, changing environment and manage several tasks simultaneously

Ability to work independently and as part of a team, to take initiative and demonstrate imagination and problem-solving ability

Exceptional organizational skills, with particular attention to detail

Strong interpersonal skills
