Job description
This position is responsible for ensuring that the warranty and extended warranty repair orders (ROs) are submitted to the manufacturer or warranty company for collection. The position is also responsible for reviewing all service invoices and classifying and coding all warranty invoices.
Primary Responsibilities
- Calculates and verifies payments to Technicians as per the completed ROs.
- Posts all manufacturers’ warranties in our DMS, as per the completed RO.
- Collects, sorts and verifies all completed warranty ROs at the conclusion of the workday.
- Separates ROs into warranty and customer pay classifications.
- Registers applicable used vehicles for CPO in VCAS.
- Processes warranty applicable ROs as required.
- Follows up on any outstanding warranty and extended warranty claims.
- Keeps all receivables current with respect to warranty administration, and ensures used cars are registered with the manufacturer.
- Enters and closes claims to SAGA and prepares reports.
- Communicates with CDK representatives to solve technical issues.
- Preparation and reconciliation of reports as required.
- Develops and maintains an efficient, current file and record management system for both electronic and paper correspondence.
- Maintains complete knowledge of and compliance with company and departmental policies, procedures and standards.
- Maintains customer and company confidence by keeping information confidential and secure.
- Maintains a positive working relationship with team members and management in a team environment.
- Sets up and organizes individual work area with designated supplies, forms and resource materials while maintaining tidiness and cleanliness at all times.
Required Skills and Experience
- Experience in the automotive field, preferably in warranty.
- A minimum of 2 to 3 years in an accounting capacity, or similar role.
- PBS, Quorum, and Reynolds and Reynolds experience.
- Proficient with the following computer environments: Microsoft Office, Microsoft Excel, Internet Explorer, Outlook and/or other accounting software.
- Valid Ontario Driver’s License and a clean driver’s abstract.
- OMVIC License is an asset.
- Excellent interpersonal and communication skills in English.
- Excellent customer service skills.
- Excellent organizational and multi-tasking skills.
- Must be detail oriented.
- Ability to work cohesively with employees and managers as part of a team.
- Ability to work efficiently and effectively under pressure with simultaneous deadlines.
