The Opportunity
We are seeking a friendly and customer-focused Receptionist & Office Coordinator to join our Surrey Head Office team.
As the first point of contact for customers, visitors, suppliers, and employees, you will play an important role in creating a positive and professional first impression of Wiseworth Canada. Beyond reception duties, you will provide administrative support to multiple departments, assist with office coordination, and help ensure the smooth day-to-day operation of our business.

Key Responsibilities
Reception & Customer Experience

Welcome customers, visitors, vendors, and employees in a professional, friendly, and courteous manner.

Answer and direct incoming telephone calls, emails, and general inquiries promptly and professionally.

Receive, sort, and distribute incoming mail, courier deliveries, and other correspondence.

Maintain a welcoming, organized, and professional reception area, meeting rooms, and common office spaces.

Ensure every visitor enjoys a positive experience while representing the Wiseworth brand with professionalism and enthusiasm.
Office Administration

Provide administrative support to leadership and various departments across the organization.

Prepare business correspondence, reports, spreadsheets, presentations, and other documentation.

Maintain electronic and physical filing systems while ensuring information is accurate, organized, and confidential.

Coordinate office supply inventories and purchase office materials as required.

Assist with scheduling meetings, coordinating travel arrangements, and supporting company communications.

This role often helps organize staff luncheons, meetings, training sessions, staff recognition activities, company celebrations, and other office activities.
Accounting & Administrative Support

Assist with accounts payable processing, expense reports, and administrative accounting functions.

Support data entry, document management, and record keeping with a high degree of accuracy.

Assist with reporting, document tracking, and maintaining business records.

Support administrative processes relating to purchasing, invoicing, and other office functions as required.
Office Operations & Workplace Support

Assist with workplace safety documentation, company compliance programs, and administrative tracking.

Coordinate office equipment, service providers, and facility-related administrative activities.

Support onboarding activities for new employees and assist with general human resources administration.

Participate in continuous improvement initiatives that enhance office efficiency, organization, and the employee experience.

Provide assistance with special projects and other administrative duties as assigned.
Team Collaboration

Work closely with employees across all departments to provide responsive administrative support.

Build positive working relationships through professionalism, collaboration, and a willingness to help.

Demonstrate flexibility by assisting wherever needed to support company priorities and customer satisfaction.
Qualifications
-
Minimum two years of experience in reception, office administration, customer service, or a similar administrative role.

Post-secondary education in Business Administration, Office Administration, Accounting, or a related field is considered an asset.

Exceptional customer service skills with a friendly, professional, and approachable demeanor.

Excellent verbal and written communication skills.

Outstanding organizational and time management abilities with the capacity to manage multiple priorities.

Strong attention to detail and commitment to producing accurate, high-quality work.

Ability to exercise discretion and maintain confidentiality.

Proficient with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.

Comfortable learning new software systems, including ERP and business management platforms.

Experience supporting accounts payable, bookkeeping, or administrative accounting functions is considered an asset.

Experience supporting workplace safety, human resources, or office coordination activities is considered an asset.
