The Office Services Clerk is responsible for supporting the day-to-day operations of the office by ensuring facilities, meeting spaces, kitchens, office equipment, and common areas are maintained to a professional standard. This role provides operational support across Office Services, Reception, Facilities, and Business Services while delivering exceptional internal client service.
Regular hours are Monday to Friday, with occasional overtime required to provide coverage for absences, meetings, events, and other operational needs.
Key Responsibilities
- Coordinate maintenance, servicing, and troubleshooting of office equipment, including printers, copiers, scanners, and kitchen appliances.
- Maintain office supply rooms, kitchens, meeting rooms, reception, wellness areas, and other shared spaces, ensuring they remain organized, fully stocked, and presentation-ready.
- Coordinate office, kitchen, catering, stationery, and hospitality supply orders.
- Set up and clean up boardrooms, meetings, training sessions, and office events, including catering and hospitality support.
- Provide reception coverage, greet visitors, answer and direct calls, manage meeting room bookings, and assist with office opening and closing procedures.
- Assist with workstation setup and cleanup for employee arrivals and departures, including ordering business cards, stationery, and related materials.
- Provide support for courier, mailroom, print services, facilities, and other Office Services functions as required.
- Assist with special projects, emergency preparedness initiatives, and other operational duties to support the efficient running of the office.
Qualifications
- Previous experience in office services, facilities, reception, hospitality, or administrative support.
- Strong organizational, communication, and customer service skills.
- Ability to prioritize multiple tasks and work independently in a fast-paced environment.
- Proficiency with Microsoft Office and standard office equipment.
- Ability to perform light physical duties, including stocking supplies and setting up meeting rooms.
