Assignment:
- Full-time 1.0 FTE Executive Assistant to the Superintendent of Schools
- Permanent Position located at the Wolf Creek Public Schools Division Office in Ponoka
- Duties to commence August 4, 2026, or as mutually agreed upon with the successful candidate
Reporting to the Superintendent the Executive Assistant to the Superintendent will have duties and responsibilities in the following areas:

Provide confidential administrative support to the Superintendent (CEO), handling a range of sensitive and privileged matters.

Monitor and reply to correspondence related to phone calls, messages, emails, and post mail associated with and pertaining to the Office of the Superintendent and Board of Trustees.

Coordinate and maintain the Superintendent’s calendar (action and meetings), schedule appointments, conferences, and meetings, along with subsequent reservations and travel arrangements (if requested).

Maintain a schedule of follow-up items and monitor Board directives to the Superintendent

Maintain electronic filing systems (U Drive, Google Drive, and DocuShare) and hard copies (if necessary).

Organize and assist in preparing presentations and accompanying documents/materials.

Respond to requests from outside agencies regarding research/data collection, surveys, contests, initiatives, etc. and advise all parties accordingly.

Attend to the needs of Principals, teachers, and concerned parents regarding sensitive and stressful issues, and coordinate appropriate information with the Superintendent for follow-up.

Liaise with Legal Counsel, Alberta Education, Local and Provincial ATA as required by the Superintendent.

Organize and setup all requirements for the Administrators’ Association Meetings (~ 10 meetings/year)and any additional impromptu meetings as they arise.

Draft the Annual Education Results Report and Education Plan for submission to Alberta Education.

Work with the Board Chair to facilitate, launch and conduct the Superintendent (CEO) evaluation.

Register the Superintendents’ Team for conferences on an ongoing basis.

Work closely with the Communications Coordinator on Division matters

Develop, maintain, update, and have a full understanding of the Administrative Procedures and Board Policies.

Process International School and all Risky-activity Field Trips for Board approval.

Process monthly VISA statements

Manage and maintain Superintendent and Assistant Superintendent employment contracts.

Collect and report class size information at the request of the Board.

Perform other duties as assigned by the Superintendent (CEO).

The following demonstrated competencies will be required of the Executive Assistant:
- A minimum of 5 years of experience as Executive Assistant or Administrative Assistant in a school jurisdiction or other business enterprise.
- A Degree or Diploma that complements the position is preferred.
- Attendance at Professional Development opportunities for Administrative/Executive Assistants is recommended.
- The successful candidate will be required to obtain a criminal and vulnerable sector check (current within 6 months)

Results-orientated, self-driven, and demonstrate ability to effectively prioritize workflow with minimal supervision.

Ability to work both independently in addition to working collaboratively as part of an effective team is essential.
