Reporting to CFS’s Business Development Manager, the Event Coordinator will help plan, implement, follow-up and evaluate all aspects of agency-run events. This includes fundraisers, community information fairs, and annual open houses. This position requires positive energy, strong interpersonal and organizational skills, and the ability to advocate on behalf of CFS Counselling + Wellbeing (after a training period).
The ideal candidate will be an energetic and creative individual with strong interpersonal skills. They enjoy meeting diverse individuals and groups to spread awareness and invite engagement and partnership in CFS programs and activities. This person will be a self-starter who is adaptable, collaborative, and comfortable working in dynamic environments.
While the hours for this position are primarily 9-5, Monday-Friday, occasional evenings and weekend hours may be required.
Major Duties and Responsibilities
Logistics
- Complete event plans, including timelines and personnel required
- Research and draft budgets
- Determine requirements for venue (e.g., a/v equipment, permits, etc.) and other aspects of assigned events
Sponsorship and Vendor Development
- Develop lists of prospects
- Create and implement a plan to contact prospects to invite them to participate
- Follow stewardship matrix to appreciate previous sponsors and vendors
- Re-commit sponsors and vendors for the next event
Community Development
- Digital media assistance
- Build positive working relationships with prior event team members and other vested parties.
- Create and implement a community awareness plan to engage new participants and partners
Volunteer Development
- Develop lists of prospects
- Create and implement a plan to contact prospects to invite them to participate
- Follow stewardship matrix to appreciate previous sponsors and vendors
- Re-commit sponsors and vendors for the next event
Administrative Duties
- Build spreadsheets and keep them updated to track activities
- Prepare mailers to send out
- Make buttons
- Track and reorder SWAG/Marketing material inventories
- Assemble event kits
- Attend team meetings
- Comply with CFS human resources and organizational policies
- Seek appropriate approvals, when required
- Maintain and comply with event schedules and budgets
Qualifications
Must meet Canada Summer Jobs eligibility requirements:
- Between 15–30 years of age at the start of employment
- Legally entitled to work in Canada
- Canadian citizen, permanent resident, or person with refugee protection
Additional Qualifications:
- A post-secondary diploma or degree in events management, fundraising, marketing, communications, or related field or equivalent experience is an asset
- Minimum 1 year of related experience
- Non-profit experience considered an asset
- Reliability and punctuality
- Effective oral and written communication skills in English.
- Ability to exercise good judgement and tact in dealing with others.
- Ability to work effectively as part of a team and work independently
- Competency with MS Office programs an asset
- Driver’s licence and access to a reliable car is required
- Language(s) in addition to English considered an asset
- A completed application form, with two satisfactory references checks
- A satisfactory Vulnerable Sector Criminal Records check
