Program Coordinator Part Time - Job Description
Literacy West Nipissing has been serving the community for well over 30 years. We are a small non-profit community based adult Literacy agency with a big heart located in Sturgeon Falls, Ontario. “Our mission is to support individual learners in reaching their goals, gaining new skills and achieving their full potential.”
Position Summary: To enhance, manage, and deliver quality service for learners and work as a team with the Executive Director as needed to meet ministry learner targets and goals.
Reports to: The Executive Director
Hours : This position is 24-28 hour per week part time. There is some flexibility here.
Responsibilities: The Program Coordinator will be accountable for:
- Maintain ministry-mandated records for every stage. Coordinate intakes with new learners. Interview/Eligibility/Assessments Review with ED. Participant Registration forms. Training supports. Learner Plan Development. Liaise with ED/Instructors. Schedule learners. Learner binder records & updates. Attendance records. Follow up reports. Communication with workers from other agencies in community. Provide information as needed to ED and record into EOIS CaMS ministry database. Keeping confidential records of all learners.
- Ministry Agreement: Review and understand the Ministry’s organizational agreement. Review Guidelines; EO Visibility & Communication Guidelines. Monthly meetings with ED for planning. Assist with ministry site visits prep and debriefing, interviews.
- Professional development: Participate in programs, courses, conferences and sessions to ensure continuous improvement in their performance and to enhance what they offer to learners.
- Coaching and Instruction when schedule allows: There will be some instructing one on one or small group sessions with learners from time to time, using their own skill set and educational background, these could be online session or in person or in group, depending on the learner and their learning plan.
- Service Delivery: Accountable for learner orientation and introduction. Liaise with the instructors and facilitators on day-to-day lessons and progress. Inform ED of training support needs for individual learners. Follow ups with learners as needed
- Liaise with IT support staff (MITM) on all technology and/or software issues with regards to learners technology use and needs. Manages the lending out of technology to learners and ensures record keeping of this.
- Social Media lead for FB and Instagram. Marketing responsibilities and Responsible for creation of quarterly newsletters and updates as needed to website of new information, programs. Website posting of program info as well.
- Outreach: Participate in community outreach, public events and fundraising activities. They are accountable for communications with stakeholders and organizations that send referrals. The Program Coordinator will maintain relationships with partner agencies like school boards, TVO-ILC, OW, EO, Health Unit, Community Living, Literacy Nipissing, Community Literacy of Ontario and others. Assist in booths in local events.
- Finance: Support the ED when necessary in the management on invoices, purchase orders, petty cash and Credit Card purchases. Manage the handling of gift cards, and the expenses relating to the needs of the learners and delivery of program and services.
- Provide the ED with reports on learners and their progress as necessary.
- Office supplies: keep eye on all supplies needed at agency for delivery of programs
- Assist with managing Admin support staff and placement students
- Other duties as assigned by ED.
Educational Background: This role requires experience working with adult learners/clients as well as knowledge of various adult learning styles. Background in social work would be useful and some facilitation experience. Post-secondary education required. Knowledge of OALCF – Ontario Adult Literacy Curriculum Framework useful as well as Literacy Basic Skills experience. Some experiences with intake of clients useful. Solid understanding of Microsoft office programs, google suite and use of various social media for marketing purposes such as Canva and Facebook.

Compensation: $30.00 per hour
