About Us NAPDA is an Alberta not‑for‑profit society that operates Bison Lodge, a historic heritage venue and social enterprise in Edmonton's river valley. Guided by four Strategic Pillars — Financial Sustainability & Risk, Community & Partnerships, Historical Stewardship, and Programming & Experience — we blend heritage preservation with vibrant community programming, weddings, and events.The Opportunity We're looking for an efficient, detail‑oriented Finance and Office Manager to keep our finances accurate and audit‑ready and to deliver the financial reporting, budgeting, and forecasting our Board relies on. Working on‑site alongside our Executive Director and Event Manager, you'll be the steady hand behind our numbers — recording and reconciling transactions, tracking event revenue, preparing budgets, forecasts, cash‑flow projections, and Board reporting, and helping build strong processes for a sustainable future. This is a meaningful ful‑time role for someone who is quick, capable, and knows their craft.What You'll Do
- Maintain accurate financial records and reconcile accounts in QuickBooks.
- Process payments, prepare invoices, and manage accounts payable and receivable.
- Track deposits and payments for weddings, rentals, programs, and events.
- Track sponsorships, grants, and fundraising activities, including our casino fundraiser.
- Prepare budgets, forecasts, cash flow projections, and standardized Board reporting.
- Keep records audit-ready and coordinate with external auditors and accountants.
- Assist with contract administration, including maintaining contract records, monitoring key dates, and supporting vendor and service agreements.
- Support corporate records management, policy administration, insurance documentation, and regulatory filings.
- Assist the Executive Director with Board and committee administration, including meeting materials, minutes, and governance records.
- Coordinate office systems, supplies, equipment, and administrative processes.
- Respond to general inquiries and support visitors, members, community partners, and vendors.
- Develop and improve financial, administrative, and operational processes.
- Support special projects, events, and organizational initiatives as required.
- Provide general operational support and contribute wherever needed in a collaborative small-team environment.
- Safeguard confidential financial, personnel, and organizational information.
What You Bring
- Experience in bookkeeping, office administration, operations, or business management, preferably within a not-for-profit, community organization, hospitality, venue, or service environment.
- Proficiency with QuickBooks, Microsoft Office, and cloud-based business tools.
- Experience with budgets, financial reporting, and administrative processes.
- Ability to manage multiple priorities and switch comfortably between finance, administrative, and operational responsibilities.
- Strong organizational skills, sound judgment, and attention to detail.
- Experience supporting contracts, governance, record-keeping, or compliance activities is an asset.
- A proactive, resourceful attitude and willingness to roll up your sleeves and help wherever needed.
- Ability to work independently while contributing positively to a small, collaborative team.
- Discretion with confidential information and a commitment to integrity.
Working Conditions This is a full‑time, on‑site role at Bison Lodge in Edmonton.
