Office Administrator – Vyve Psychotherapy
Position Summary
The Office Administrator plays a key role in ensuring the smooth day-to-day operations of the clinic. This individual is responsible for providing exceptional customer service, supporting therapists and clients, managing administrative tasks, and helping maintain an organized, welcoming, and professional environment.
Key Responsibilities
- Answer phone calls, emails, and client inquiries in a professional and compassionate manner.
- Schedule, reschedule, and confirm client appointments.
- Complete billing, process payments, and follow up on outstanding invoices.
- Verify insurance information and maintain accurate client records.
- Ensure intake forms, consent documents, and client information are completed and up to date.
- Support therapists with administrative needs and coordinate office operations.
- Maintain confidentiality and ensure compliance with privacy standards.
- Monitor office supplies and maintain a clean, organized, and welcoming environment.
- Assist with reporting, filing, scanning, and other administrative duties as required.
Qualifications
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Proficient with computers and office software.
- Ability to manage multiple tasks in a fast-paced environment.
- Professional, reliable, and detail-oriented.
- Experience in administration, customer service, or healthcare settings is considered an asset.
