We are looking for a Part-time driven and dedicated Real Estate Administrative Assistant to join our award-winning and growing team. You will provide administrative support to the agents on our team. Responsibilities include administrative duties such as keeping track of all transaction documents in the client database for our real estate agents, monitoring and notifying clients of important deadlines, complying with legal procedures, and planning appointments and final walkthroughs. Requirements:
Experience: minimum 2 years in Real Estate Brokerage

Responsibilities:
- Reception duties – answer telephones, confirm appointments, greet clients/walk-ins, input messages using Broker Bay
- Fulfill client requests for information or other relevant transaction services in a quick and friendly manner. Notify transaction participants when a deadline is approaching
- Complete paperwork for all real estate transactions in a timely manner to ensure a deal is closed as quickly as possible.
- Broker Load – input MLS listings, upload photos, scan documents, process new listing documents (price changes, extensions), etc., enter listing information and appointment instructions into Broker Bay
- Maintain the Active Business records for clients currently buying or selling property. Prepare birthday and other client event cards for signing and mailing.
- Client Care Follow up calls and Active Client communication on behalf of the team - phone calls, text, and email. Monitor showings for listings, and add to notes program so we are ready to do follow up with showing agents.
- Supporting the staging process including attending the staging consult with our staging consultant, picking inventory required and managing the pickup and drop off by movers, helping the staging consultant to set up a property, and disassemble and pack up a property
- You’ll also work with the team to manage the production of all marketing materials including the management of the team's Instagram and Facebook accounts.
Qualifications:
- Has knowledge of Microsoft Office and customer relationship management software
- Previous experience in the real estate industry
- Ability to learn applications like Broker Bay, Stratus, Matrix and Web forms
- Able to work in a fast paced environment and manage competing demands
- Excellent customer service skills, including excellent telephone manner
