About the Role:
We are seeking a highly organized and proactive Regional Administrator Assistant. This role is responsible for providing administrative, operational, and facility support to ensure the smooth day-to-day functioning of several regional locations.

Key Responsibilities
- Serve as the first point of contact for incoming calls and visitors, ensuring a professional and welcoming experience.
- Manage facility access control systems, phone systems, and related administrative functions.
- Coordinate facility services including janitorial services, office supplies, kitchen consumables, vending services, and other site requirements.
- Maintain office equipment and arrange repairs or servicing as needed.
- Support internal communications, including preparing, distributing, and posting site communications and coordinating translation services when required.
- Assist with payroll reimbursement requests and overtime submission processes.
- Organize employee engagement activities, team-building events, meetings, training sessions, and recognition programs.
- Manage meeting room bookings and office event calendars.
- Maintain vacation tracking databases and ensure information accuracy.
- Prepare and distribute operational and administrative reports on a regular basis.
- Coordinate accounts payable documentation and ensure timely processing of vendor invoices.
- Arrange and document preventative and corrective building maintenance activities, inspections, and service contracts.
- Coordinate incoming and outgoing mail, courier services, and document management activities.
- Support cost-saving initiatives and continuous improvement projects.
- Complete document scanning, electronic filing, and records management activities.
- Foster a positive workplace culture focused on teamwork, safety, and continuous improvement.
Qualifications
- Post-secondary diploma or degree from an accredited institution.
- Minimum 3 years of experience in an administrative or office support role.( Manufacturing and Production industry is an asset)
- Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and SharePoint.
- Legally authorized to work in Canada without current or future sponsorship requirements.
