The Medical Secretary 2 in the Laboratory Office transcribes specialized reports (anatomical and medical terminology) required for medical and administrative purposes for Laboratory Clinicians and Staff. This position is also responsible for a wide variety of secretarial and administrative duties for the department. The incumbent will be responsible for communicating efficiently with co-workers, pathologists, lab technologists and the public in a respectful and courteous manner.
Duties will include:
- Accurately interpret and transcribe and using a sound knowledge of medical style and grammar, reports such as transcribed & written notes, surgical & autopsy reports and letters. Distribute as appropriate to the clients (e.g. Island Hospitals, physician offices, medical homes, etc;
- working in a computerized environment that includes word processing, using spreadsheets, emailing, scanning, faxing as well as using Cerner
- Enter patient information for Cytology Laboratory processing.
- Maintain inventory and ordering of office supplies when required.
- Monitor office equipment (computers, printers, copier, telephones). When required coordinate any maintenance/repair requirement to ensure efficient operations of the Laboratory Office.
- Maintain out of province documentation of specimens to referral labs for payments;
- Create and track waybills for specimen send outs;
- Assist with all in person client visits to the Laboratory (patients, physicians, etc);
- Respond to client inquiries by providing the necessary information/assistance on forwarding the request to the appropriate division;
- Receive and sort incoming mail – redirect, assemble and organize mail for its correct destination at specific times to meet courier’s schedule;
- Consistently maintain attention to detail and confidentiality in performing required duties;
- Work independently, prioritizing tasks while functioning in a busy, multitask environment;
- Attend planning meetings as required;
- Provide administrative/secretarial support for various personnel in the Department;
- Arranging lab related meetings, informing meeting invites, minute taking;
Minimum Qualifications:
- Successful completion of a recognized Secretarial or Office Studies course or Medical Support Services Program with a specialized course in Medical Terminology
- Computer training and experience with software programs such as Medical Dictation (Dictaphone), Cerner and Peoplesoft
- Typing speed of 50 wpm net of errors.
- Proficiency using Microsoft Office Products including outlook
- Considerable experience in medical secretary related work.
- Computer training and experience with relevant software programs.
- Must demonstrate effective communication skills and the ability to work both independently and cooperatively with others.
- Must have a good previous work attendance record and have demonstrated appropriate use of leave.
Other Qualifications
- Experience with medical dictation software would be an asset
- Experience with Cerner would be an asset
- Peoplesoft experience would be an asset.
- Excellent written and verbal communication skills- highlighting grammar and sentence structure would be an asset
- Experience working in a Laboratory setting would be an asset.
- Experience working in a fast paced medical office or clinic setting would be an asset.
- Organizational and time management skills would be an asset
- Knowledge of Provincial Laboratory services and processes would be an asset
- Knowledge of waybill creation is an asset
Salary Range: $26.94 - $29.29 per hour
Bi-Weekly Hours: 75.0 Hours Bi-Weekly / Monday – Friday / 8:00 a.m. - 4:00 p.m.
