Summary
We are recruiting on behalf of an external partner for an Executive Assistant to join a high-performing executive support function. This role will work closely with and report to the Executive Assistant supporting the CEO and Executive Team, helping to manage day-to-day priorities and provide administrative support across a variety of executive and business initiatives.

We are particularly interested in candidates who have experience working in startup, entrepreneurial, family office, or founder-led environments and are comfortable wearing multiple hats as business needs evolve.
This is a full-time, in-person position based in Vancouver, BC.
Key Responsibilities
Executive & Administrative Support
- Manage and coordinate calendars, meetings, appointments, and travel arrangements
- Support the Executive Assistant to the CEO in managing executive priorities and day-to-day operations
- Act as a gatekeeper for emails, calls, meeting requests, and incoming correspondence
- Prepare agendas, briefing notes, presentations, reports, and other executive materials
- Track action items, follow-ups, deadlines, and key deliverables
- Coordinate electronic signature requests and document management
- Maintain filing systems, records, and administrative processes
- Handle highly confidential and sensitive information with discretion and professionalism
Coordination & Communication
- Liaise with internal teams, external stakeholders, clients, and service providers
- Assist with special projects and ad hoc initiatives as required
- Help ensure priorities are organized, communicated, and executed effectively across multiple areas of the business
- Partner closely with the Executive Assistant to the CEO to provide seamless support and maintain alignment on changing priorities
Process Improvement
- Identify opportunities to improve systems, workflows, and operational efficiencies
- Proactively anticipate challenges and recommend solutions before issues arise
- Demonstrate flexibility and adaptability when priorities shift or urgent matters arise
Required Skills & Experience
Candidates applying for this position should possess:
- Minimum 3 years of experience in an Executive Assistant, Personal Assistant, or senior administrative support role
- Experience supporting executives within startups, entrepreneurial organizations, family offices, or fast-growing businesses is highly preferred
- Exceptional organizational, project management, and time management skills
- Strong written and verbal communication abilities
- High attention to detail and commitment to accuracy
- Ability to manage multiple priorities and adapt quickly in a fast-paced environment
- Professionalism, discretion, and sound judgment when handling confidential information
- Strong problem-solving skills and the ability to anticipate executive needs
- Proven ability to remain calm and effective under pressure
- Natural curiosity, initiative, and willingness to learn
- Advanced proficiency with Microsoft 365 and Google Workspace
- Experience with calendar management systems, scheduling tools, and digital productivity platforms
- Ability to create polished presentations, documents, and reports
- Strong sense of ownership, accountability, and follow-through
- Ability to work independently while collaborating effectively as part of a team
- Positive, service-oriented, and adaptable mindset

Salary and Benefits
- $75,000–$80,000 base salary, depending on experience
