About Us
Anishnawbe G’Zhiitoonegamic (A’Gic), meaning “Peoples Place of Building”, is an indigenous women-led social enterprise located at 300 Archer Drive in Kirkland Lake, Ontario. The enterprise offers a transformative solution to the housing crisis facing Indigenous and Northern communities. Emerging from the Keepers of the Circle and grounded in Indigenous values – A’Gic provides low-carbon, energy-efficient modular homes that are not only affordable and climate-resilient but also culturally grounded and community-informed.
Summary of Position
The Human Resources (HR) and Administration Lead is responsible for supporting the enterprises administrative, financial, and human resources operations. Reporting to the Plant General Manager and working closely with other department leads, this position helps uphold strong financial practices, efficient administrative systems, and a positive, culturally grounded staff experience without our Indigenous-led, values-driven workplace.
This is a full-time (40 hours per week) position based on-site in Kirkland Lake, Ontario. The starting salary will be determined based on experience, and the start date for this position will be discussed further during the interview process.
Job Requirements and Qualifications
- Post-secondary education in Administration, Commerce or a related field.
- 3-5 years of experience in Administration or Human Resources Management.
- Experience working in an Indigenous workplace and knowledge about the Indigenous culture and people considered an asset.
- Experience working with HR platforms, payroll systems, and QuickBooks.
- Ability to work with all aspects of Microsoft Suite with ease.
- Excellent verbal and written communication with the ability to collaborate across teams and departments.
- Ability to maintain confidentiality and handle sensitive information with integrity.
Roles and Responsibilities
Administration
- Manage office systems, filing, digital records, and document control.
- Support implementation of operational plans to improve workflow and administrative effectiveness.
- Coordinate materials for internal and external meetings and community reporting.
- Provide general office support to leadership, staff, and teams.
- Manage incoming and outgoing correspondence, including emails, mail, and phone inquiries.
Finance
- Oversee daily financial operations including payroll, accounts payable, accounts receivable, reconciliations, and reporting.
- Maintain clear communication and coordination with the bookkeeping service providers.
- Support annual budgets, cash-flow planning, funding reports, and financial tracking.
- Maintain internal controls, financial documentation, and audit-ready records.
- Maintain vendor files, insurance records, procurement documentation, and contracts.
Human Resources
- Support recruitment processes including job postings, applicant screening, interview processes and preparing documentation.
- Assist with onboarding and orientation for new employees.
- Maintain up-to-date employee records and files in accordance with privacy and confidentiality requirements.
- Assist with implementing HR policies and procedures, as well as workplace safety practices.
- Provide general HR support to employees, responding to inquiries and directing them to appropriate resources.
- Support employee engagement, wellness initiatives, and a positive workplace culture.
- Assist with performance review processes, documentation, and follow-up actions.
- Ensure compliance with the Occupational Health and Safety Act (OHSA) and Employment Standards Act (ESA), including monitoring adherence and supporting related documentation.
