Position:
Office Services Support
Full-Time, Fully Onsite: Monday to Thursday, 8:45 AM – 5:00 PM; Friday, 8:45 AM – 4:00 PM
Purpose of the role:
The Office Services Support role is integral to the firm's daily operations, providing support across reception, mailroom services, meeting and event preparation, office supply management, and general office functions. Working collaboratively as part of a team, the incumbent helps maintain a welcoming, organized, and professional environment for clients, lawyers, staff, and visitors. Office Services, Facilities & Hospitality Manager
Duties and Responsibilities:
- Provide reception coverage and backup support as required;
- Coordinate the setup and preparation of boardrooms and meeting spaces, including furniture arrangements, audiovisual equipment, catering, and post-meeting or post-event cleanup,
- Prepare coffee and other beverages for clients and internal meetings as needed;
- Process incoming and outgoing mail, including sorting, distributing, and handling regular and registered mail;
- Coordinate courier services, including tracking, processing, and arranging deliveries and pickups;
- Order, receive, unpack, and restock office and kitchen supplies;
- Monitor and maintain the cleanliness and organization of kitchen areas and shared office spaces;
- Provide backup support for photocopying, scanning, binding, and other document production services for lawyers and support staff;
- Submit and coordinate building maintenance requests through the designated online portal and liaise with service providers as required;
- Assist with a variety of Office Services functions and provide coverage and support to team members as needed; and,
- Other duties and responsibilities as required.
Education & Qualifications:
- High school diploma;
- Previous experience in customer service, hospitality, office services, or professional services environment;
- Proficiency in the use of computers and working knowledge of OneNote and Microsoft Office Suite applications, including Outlook and Excel; and,
- Ability to lift and move items weighing up to 15kg.
