The Volunteer Coordinator leads the YMCA's volunteer program by recruiting, engaging, supporting and recognizing volunteers across the organization. Working collaboratively with all departments, the Volunteer Coordinator ensures volunteers have meaningful opportunities to contribute while meeting program needs and delivering an exceptional volunteer experience. The role is responsible for building a strong culture of volunteerism, maintaining a volunteer capacity of at least 80%, and fostering lasting relationships that strengthen community engagement. In partnership with the Philanthropy team, the Volunteer Coordinator also supports fundraising initiatives, community events and stewardship activities that deepen connections to the YMCA and its mission.
CORE RESPONSIBILITIES
- Develop and implement annual volunteer recruitment and retention strategies to achieve and maintain at least 80% of approved volunteer capacity across YMCA programs and services.
- Monitor volunteer recruitment metrics, vacancies, onboarding timelines and retention trends, providing regular reports and recommendations for improvement.
- Build partnerships with schools, post-secondary institutions, businesses and community organizations to expand volunteer recruitment opportunities.
- Create meaningful volunteer engagement and recognition initiatives that encourage long-term volunteer involvement.
- Work collaboratively with the Philanthropy team to identify opportunities to engage volunteers as ambassadors, donors and advocates for the YMCA.
- Support stewardship initiatives by coordinating volunteer participation in donor events, fundraising activities and community engagement opportunities.
- Identify and share compelling volunteer stories and impact outcomes for use in fundraising, marketing and stewardship communications.
- Develop pathways for volunteers to deepen their involvement with the YMCA as ambassadors, committee members, event volunteers and donors.
- Develop strong relationships with volunteers, ensuring every volunteer has a positive onboarding, training and ongoing engagement experience.
- Conduct volunteer satisfaction surveys and exit interviews to identify opportunities to improve the volunteer experience.
- Recognize volunteers for milestones, years of service and outstanding contributions.
- Maintain accurate volunteer records in Raiser's Edge and prepare monthly reports on recruitment, retention, engagement and volunteer capacity.
- Track key performance indicators including volunteer capacity, retention rates, onboarding completion and volunteer hours.
SKILLS AND QUALIFICATIONS
- Successful completion of a related post-secondary degree
- Proficiency in Microsoft Office software.
- Proven ability to build consensus and work effectively within a cross-departmental team and with external vendors.
- Ability to maintain consistent documentation and filing needs.
- Ability to manage multiple projects in a fast-paced, deadline-driven environment.
- Exceptional communication (both oral and written) and organizational skills.
- Experience in creating and organizing events is an asset.
- Working or volunteering in a non-profit setting is an asset.
