Led by Principal Lawyer Kapil Rathod, we specialise in immigration law, judicial reviews, family sponsorship, refugee appeals, and paralegal services. Role Overview
This is a dual-function role combining executive legal administration and B2B sales development. You will be the operational backbone of our Etobicoke office, directly supporting Mr. Kapil Rathod in managing his calendar, court deadlines, client communications, and judicial review cases, while also driving business growth by building referral relationships with Regulated Canadian Immigration Consultants (RCICs) across Canada and India.

Key Responsibilities
Legal Administration and Executive Support
- Manage Mr. Kapil Rathod's full calendar, including scheduling consultations, client meetings, court appearances, and internal reviews
- Track and maintain all critical judicial review deadlines, Federal Court submission dates, filing deadlines, and response timelines with zero tolerance for error
- Coordinate and manage case milestones for long-duration matters, particularly judicial review files spanning 6 to 12 months
- Proactively send case status updates to clients at regular intervals so they are always informed about the progress of their matter
- Respond promptly to client inquiries via email, WhatsApp, and phone, answering questions about application status, next steps, and required documents
- Draft and send professional client-facing communications, follow-up emails, and update messages on behalf of the firm
- Organise and maintain physical and digital client files, ensuring accuracy and confidentiality at all times
- Liaise with Federal Court registries, IRCC offices, and opposing counsel as directed by Mr. Rathod
- Prepare basic correspondence, cover letters, and client-facing documentation under lawyer supervision
Office Management (Etobicoke Location)
- Serve as the designated key holder and primary point of contact for the Etobicoke office
- Manage day-to-day office operations including supplies, vendor coordination, and general upkeep
- Handle incoming calls, emails, and walk-in inquiries in a professional and welcoming manner
- Maintain an organised, client-ready office environment at all times
- Coordinate with the main Brampton office to ensure smooth inter-office communication and workflow
Sales and Business Development (B2B)
- Proactively identify and reach out to Regulated Canadian Immigration Consultants (RCICs) and immigration consultants across Canada and India
- Pitch Rathod Law's judicial review and legal services to consultants whose clients have received refusals or negative immigration decisions
- Build and nurture ongoing referral relationships with consultants so they consistently refer rejected cases to our firm
- Conduct follow-up outreach, handle objections, and close referral partnerships
- Schedule and confirm discovery meetings between interested consultants and Mr. Kapil Rathod
- Maintain a pipeline of consultant contacts and track outreach activity
- Meet monthly outreach and referral booking targets (incentive pay tied to performance)
What We Are Looking For
Required
- Minimum 1 to 2 years of experience in sales, client service, or administrative support (legal or professional services environment preferred but not required)
- Excellent verbal and written communication skills in English, as you will be writing client emails and WhatsApp messages daily
- Strong organisational skills with the ability to manage multiple deadlines simultaneously
- Professional, confident, and approachable demeanour when dealing with clients and business partners
- Ability to handle sensitive client information with complete discretion and confidentiality
- Comfortable working independently and taking ownership of responsibilities
- Proficiency with Microsoft Office (Word, Outlook, Excel) and basic scheduling tools
- Willingness to be the key holder and take responsibility for the Etobicoke office
Preferred (Strong Asset)
- Fluency in Hindi, Gujarati, and/or Punjabi, spoken and written
- Prior experience in a law firm, immigration consultancy, or regulated professional environment
- Existing knowledge of Canadian immigration processes, judicial reviews, or IRCC procedures
- Prior B2B sales or business development experience
- Familiarity with CRM tools or client management software
