SCOPE
Reporting to the Executive Director, Advancement Services, the incumbent works with University Advancement leadership and staff, key volunteer leaders, and partners across campus to develop and advance the comprehensive campaign plan and associated volunteer strategies. Through collaboration with internal and external stakeholders, they will contribute to donor-centric, team-based approaches that strengthen relationship development and support effective volunteer engagement. The incumbent develops and recommends strategies and policies that guide comprehensive campaign planning and volunteer cultivation.
PRIMARY RESPONSIBILITIES
• In partnership with senior University leadership, develop the plan for the University’s next comprehensive fundraising campaign, including the creation of budgets, timelines and project plans that support campaign objectives. Partner with University Advancement leadership to ensure fundraising goals are aligned with institutional priorities.
• Manage the day-to-day execution of the campaign project plan, ensuring deliverables meet established timelines and quality standards. Coordinate collaboration among units such as Annual Giving, Alumni Engagement, Major & Primary Gifts and Advancement Communications.
• Lead campaign-related meetings, track action items and maintain clear documentation. Prepare progress updates for University Advancement leadership, faculty partners and volunteer committees.
• Serve as a key point of contact for campus partners and University Advancement stakeholders on matters related to campaign planning and volunteer strategy.
• Work closely with University Advancement Communications colleagues to develop campaign collateral, including the campaign case for support and other promotional materials.
• Develop and implement a strategic volunteer framework in support of the comprehensive fundraising campaign. Establish and maintain best practices for volunteer management, onboarding and retention.
• Identify and coordinate the recruitment of volunteers. Develop role descriptions, recruitment materials, onboarding guides and other supporting materials.
• Oversee the support of volunteer committees, including meeting coordination, agenda development and briefing materials. Collaborate with University Advancement colleagues to match volunteers with meaningful roles.
• Develop and manage a volunteer stewardship program in support of the comprehensive fundraising campaign, including recognition initiatives, impact communications developed in collaboration with University Advancement Communications, and volunteer appreciation activities.
• Perform other related duties in support of University Advancement.
QUALIFICATIONS
• Bachelor’s degree in Public Administration or Communications or in a related field and at least seven years of related experience in the advancement profession, specifically with strategic planning, campaign management and volunteer or stakeholder engagement.
• Solid knowledge of fundraising principles and an in-depth understanding of best practices in donor stewardship and engagement, including analysis, assessment and evaluation.
• Very good knowledge (Level 5) of spoken and written English and good knowledge (Level 4) of spoken and written French.
• Superior writing, editing and proofreading skills.
• Superior interpersonal communications skills, with the ability to work effectively with a diverse audience.
• Strong planning and project management skills, with the ability to identify short- and long-range goals and support the effective and measurable execution of outcomes aligned with sector priorities.
• Strong analytical and problem-solving skills, with the ability to analyze data and produce reports
• Excellent organizational skills, with the ability to manage multiple priorities and competing deadlines in a demanding environment.
• Demonstrated ability to lead and coordinate cross-functional teams to deliver high-quality programs.
• Service-oriented approach, personal initiative and creative thinking.
• Good knowledge (Intermediate level) of Word, Excel, and PowerPoint software and computer proficiency in a variety of software applications.
• Perceptive and able to navigate nuance, with sound independent judgment, diplomacy, and tact, and the ability to maintain confidentiality and work with sensitive information.
• Demonstrate a high degree of professionalism and the ability to work independently yet maintain a close connection with colleagues
• Willingness and ability to work irregular hours, as required.
• Knowledge of and experience working in a university and higher education environment is an asset.
• Familiarity with fundraising databases is an asset.
