Position Summary
Bellastate Construction is currently seeking a qualified and experienced Construction Coordinator to work with our Project Manager in support of our growing portfolio of multi-unit residential and commercial construction projects.
The Construction Admin provides administrative, clerical, and coordination support to ensure smooth day-to-day construction operations. This role helps manage project documentation, scheduling, communication, and general office support for the construction team.
Key Responsibilities
Administrative Support
- Manage and organize project files, contracts, permits, and construction documents.
- Prepare project paperwork.
- Maintain accurate records of deliveries, site logs, timesheets, and daily reports.
- Assist in organizing meetings, preparing agendas, and recording meeting minutes.
Project Coordination
- Assist in scheduling inspections, subcontractor activities, and project timelines.
- Coordinate communication between project managers, site supervisors, subcontractors, and suppliers.
- Track project progress and follow up on pending items or documentation.
- Help prepare project status reports for management.
Office & Site Support
- Provide general support to the construction team (printing drawings, distributing updates, etc.).
- Assist with RFI submissions, safety documents, and compliance requirements.
- Help ensure all project documentation is up-to-date and properly filed.
Communication
- Respond to emails, calls, and inquiries related to construction operations.
- Relay messages and updates between office and site personnel in a timely manner.
- Follow up with vendors, suppliers, and subcontractors regarding schedules, deliveries, and documentation.
Qualifications
- Experience in construction administration, office administration, or related field (preferred).
- Strong knowledge of construction processes and terminology is an asset.
- Excellent organizational and multitasking skills.
- Proficiency in MS Office (Word, Excel, Outlook) and project management software.
- Strong attention to detail and ability to work in a fast-paced environment.

Job Type: Full-time
Pay: $20.00-$24.00 per year
