Position Summary
The Student Services Coordinator is responsible for supporting the full student lifecycle, from enrollment through graduation, ensuring a positive and well-supported student experience. This role oversees student records, attendance, scheduling, communication, LMS coordination, and co-op placement support while working closely with academic and administrative teams.
Key Responsibilities
Student Services Administration & Case Management
- Maintain accurate, up-to-date, and confidential student records in accordance with institutional policies and regulatory requirements.
- Support the Administration Manager and Campus Operations Lead in implementing and maintaining student services systems, procedures, and processes.
- Maintain detailed case notes and records of all student interactions, concerns, and resolutions.
- Ensure timely and effective communication of important student-related information through appropriate communication channels.
- Document student interactions, issues, and outcomes to support ongoing case management and continuous service improvement.
- Conduct research and recommend enhancements to student services processes, systems, and overall student experience.
- Regularly review and update student information to ensure compliance with academic and regulatory standards.
Student Engagement & Support
- Organize and support student-centered events, including Orientation Days, onboarding activities, workshops, and student engagement initiatives.
- Respond to student inquiries and provide timely support to ensure a positive student experience.
- Monitor student engagement and proactively follow up with students experiencing attendance, academic, or participation concerns.
- Assist students in navigating college policies, procedures, and available support services.
Scheduling, Program Coordination & Class Management Support
- Create and manage student schedules for academic classes, external certifications, examinations, and work experience placements.
- Coordinate class batches, course offerings, and scheduling within the Learning Management System (LMS).
- Ensure schedules align with program requirements while accommodating operational and student needs where possible.
- Collaborate with academic departments, instructors, and external partners to coordinate course delivery and participation logistics.
- Support class management activities, including student enrollments, transfers, withdrawals, class roster maintenance, and classroom assignments.
- Assist with course start-up preparations and ensure students have access to required resources and materials.
Attendance Management
- Maintain accurate attendance records and monitor attendance trends.
- Contact students regarding attendance concerns via phone, email, or other approved communication channels.
- Implement and support strategies aimed at improving student attendance, retention, and engagement.
- Escalate ongoing attendance concerns to appropriate leadership when required.
LMS & Academic Systems Support
- Oversee course and class management within the Learning Management System (LMS).
- Ensure course materials, assessments, schedules, and class information remain accurate and current.
- Provide basic LMS troubleshooting and user support for students and instructors.
- Support data integrity and reporting requirements across student information systems.
Co-op & Work Experience Services
- Support the coordination and administration of student co-op and work experience placements.
- Maintain accurate co-op records, tracking systems, and placement documentation.
- Collaborate with co-op administrative teams to ensure placement data is accurate and up to date.
- Develop and maintain employer databases to support student placement opportunities.
- Assist in planning employer engagement activities, hiring events, and networking opportunities for students.
Process Improvement & Quality Assurance
- Analyze existing procedures and identify opportunities to improve operational efficiency and service delivery.
- Collaborate with internal teams to implement best practices and enhance student satisfaction.
- Support continuous improvement initiatives related to student services, academic administration, and student success outcomes.
Qualifications & Skills
- Post-secondary education in Business Administration, Education, Student Services, or related field (preferred)
- Experience in student services, administration, education, or academic coordination
- Strong communication and interpersonal skills
- Excellent organizational and time management abilities
- Proficiency in Microsoft Office and LMS systems
- Strong attention to detail and ability to manage multiple priorities

Ability to commute/relocate:
